This role sits at the intersection of project delivery and operations, ensuring that the right people are allocated to the right work at the right time, while keeping internal teams and external stakeholders aligned on scheduling and delivery timelines. The successful candidate will bring strong analytical capability, a proactive approach to problem-solving, and confidence in liaising with stakeholders at all levels, both within the organisation and with external clients, vendors, and partners.


Responsibilities:


Resource Management

• Maintains accurate, up-to-date resource plans across active and upcoming projects

• Tracks capacity and utilisation to identify over-allocation, under-utilisation, or skill gaps before they impact delivery

• Supports onboarding of new projects by defining resourcing requirements during the planning phase


Forecasting

• Develops and refines forecasting models to anticipate future resourcing needs based on pipeline, project scope, and historical trends

• Provides leadership with clear visibility into capacity constraints and hiring or reallocation requirements in advance

• Supports scenario planning to help the business respond to changes in project scope, timelines, or client demand


Schedule Coordination

• Collaborates closely with internal project managers, team leads, and delivery teams to align resource availability with project milestones and deadlines

• Liaises with external clients, contractors, and third-party vendors to confirm timelines, manage dependencies, and resolve scheduling conflicts

• Ensures commitments made externally are realistic and achievable internally

Systems, Reporting & Continuous Improvement

• Maintains and improves resource management systems and tools, ensuring data integrity across scheduling platforms, timesheets, and dashboards

• Produces regular reports and forecasts highlighting resourcing risks, bottlenecks, and efficiency opportunities

• Escalates scheduling conflicts or resourcing risks early and proposes practical solutions

• Keeps stakeholders informed of changes that may affect delivery

• Contributes to continuous improvement of forecasting methodologies and coordination processes


Requirements

• Demonstrated experience in project coordination, resource management, or business analyst roles, ideally in professional services, consulting, IT, or a similarly project-driven environment

• Proficiency in resource planning and scheduling tools (e.g. MS Project, Smartsheet, Float, Resource Guru, or similar)

• Advanced Excel skills for building forecasting models and tracking utilisation

• Experience with project management or PSA software such as Zoho Projects, Jira, or equivalent (well regarded)

• Excellent organisational skills with the ability to manage multiple competing priorities

• Strong attention to detail when working with data and forecasts

• Confident stakeholder management skills, both internal and external

• Proactive, solutions-focused mindset with sound commercial awareness

• Ability to communicate complex scheduling or resourcing issues clearly to technical and non-technical audiences


Qualifications

• Bachelor's Degree or equivalent experience

• Degree in business, project management, operations, or a related field preferred (equivalent practical experience considered)

• Formal training or certification in project management (e.g. PMP, PRINCE2) or resource/capacity planning is an advantage but not essential

• Strong verbal, written, and organizational skills
