Position: HR Intern
Location: Kuala Lumpur, Malaysia
Allowance: RM 800.00 - RM 1,000.00 per month
Duration: 4 - 6 months

Job Responsibilities:
1. Employee Lifecycle & HR Data Management
- Assist in maintaining and updating employee lifecycle records from onboarding to offboarding.
- Assist in organising and maintaining employee master data and HR records, excluding salary-related information.
- Review employee records to ensure information and documentation are complete and up to date.
- Assist in tracking employee movements and key HR milestones, including onboarding, probation, confirmation, leave and resignation.
- Assist in improving the organisation and maintenance of HR data and trackers.
- Prepare basic HR reports and summaries based on available employee data.
2. HR Documentation & Administration
- Assist in preparing, organising and maintaining HR documents, forms, letters and records.
- Assist with employee onboarding and offboarding documentation.
- Assist in maintaining proper filing of employee records and HR documents.
- Support the HR team with day-to-day HR administrative tasks.
- Assist in preparing HR-related announcements, memos and internal communications when required.
3. Employee Handbook Review & Improvement
- Assist the HR team in reviewing the existing Employee Handbook.
- Identify areas where policies, procedures or guidelines may require clarification or improvement.
- Review existing HR practices and documentation against the Employee Handbook.
- Assist in drafting and updating relevant sections of the Employee Handbook based on HR and management's direction.
- Organise feedback and proposed improvements for HR's review.
4. HR Guidelines & Process Improvement
- Assist in preparing and developing internal HR guidelines for employees and managers.
- Assist in documenting HR processes and procedures in a clear and organised manner.
- Support the HR team in reviewing existing HR processes and identifying areas for improvement.
- Assist in preparing simple HR process flows, checklists and reference materials.
- Ensure HR guidelines and documents are properly organised and maintained.
5. Recruitment Support
- Assist the HR team with recruitment activities when required.
- Assist in posting job vacancies on relevant recruitment platforms.
- Assist in screening resumes and maintaining candidate records.
- Coordinate interview arrangements and candidate follow-ups.
- Update recruitment trackers and recruitment-related documentation.
6. Employee Engagement & General HR Support
- Assist in organising employee engagement activities, company events and celebrations.
- Provide support for HR activities and initiatives.
- Assist with other HR-related administrative and ad-hoc assignments as assigned by the HR team.
- Maintain confidentiality when handling employee and company information.
Qualifications:
- Currently pursuing Degree in Human Resource Management, Business Administration / related field.
- Able to maintain confidentiality when handling employee and company information.
- Excellent organisational and coordination skills.
- Familiarity with office management procedures is preferred.
- Responsible, positive attitude, and eager to gain hands-on experience in HR.
- Efficient and structured with attention to detail.
- Strong analytical and critical thinking skills.
- Willingness to learn, take initiative, and accept guidance.
- Good time management skills.
- High proficiency with Microsoft Office and Google office suite, especially Excel and Sheets.
- Strong interpersonal skills to enable effective communication and teamwork when needed.
- Malaysian citizen.
- Good command of English and Bahasa Malaysia, both written and spoken.
