Role Summary
We are looking for a meticulous and proactive Accountant on a 12-month contract to join our Finance team in Kuala Lumpur. The role combines two areas: (1) end-to-end Accounts Receivable across multiple entities and currencies, and (2) full-set accounting cover for a team member on maternity leave, including AP approvals, month-end closing, balance sheet schedules, statutory audit, tax compliance, banking and corporate secretarial matters.
You will also lead practical automation and process-improvement projects for AR and AP, leaving the team with faster, more reliable processes at the end of the contract. The ideal candidate is curious, analytical and hands-on, with experience in multi-currency transactions and regional (SEA) indirect and withholding tax.
Key Responsibilities
1. Accounts Receivable
- Prepare and issue client invoices accurately and on time, in line with contractual and tax requirements.
- Record and reconcile customer receipts across payment platforms and currencies.
- Perform AR ageing analysis and follow up on overdue accounts to maintain healthy cash flow.
- Coordinate with Sales, Payroll and Benefits teams to resolve billing discrepancies and payment issues.
- Maintain customer account statements and support monthly closing activities.
- Assist with revenue reconciliation and AR-related intercompany transactions.
- Support bad debt provisioning and write-off calculations.
- Prepare AR reports for management (ageing, collection status, DSO analysis).
2. Accounts Payable
- Review and approve vendor invoices, including professional fees (accounting, corporate secretarial, tax, audit) and disbursement service providers (e.g. NIUM, ILM).
- Review and approve tax payments upon receipt of tax reports from tax agents: PH VAT and WHT; ID WHT and CIT prepayments; VN VAT; SG and MY CIT.
- Ensure accuracy and timeliness of payments and perform vendor reconciliations.
3. General Ledger & Month-End Closing
- Complete month-end closing from WD1 to WD6, including:
- Salary, depreciation and COGS postings
- Intercompany recharge postings
- Bank reconciliations
- Client fund forex charge-out
- Update balance sheet schedules monthly
- Support intercompany and internal funding activities, including fund transfers, balance reconciliations and documentation.
- Prepare month-end supporting documents for AYP Group Inc and submit to TMF
4. Statutory Audit & Annual Return
- Coordinate annual statutory audits for SG, HK, MY, PH, VN and TH entities (January to June), including follow-up with auditors on timelines.
- Prepare supporting schedules and documents, and respond to auditor queries.
- Provide documents to the corporate secretary for annual return filings after audit completion.
5. Taxation
- Prepare quarterly GST reports and GST F5 returns for Singapore entities (Staffing, HRS, Connect and Bethel) and submit to IRAS.
- Prepare supporting documents for ECI and Form C submissions for Singapore entities (March and November) and respond to tax agent queries.
- Support the ongoing Philippines tax audit, working with TMF and maintaining the record of correspondence and events.
- Prepare AR documentation to support audit and tax filing requirements.
6. Banking & Corporate Secretarial
- Handle ad hoc bank requests: payment checks, supporting documents, online banking user set-up, authorised signatory updates and account opening.
- Coordinate corporate secretarial matters: business registration renewals, AGMs, secretary's certificates (PH), changes of directorship and other ad hoc filings.
7. Automation & Process Improvement
- Lead the AR and AP automation projects set out in the next section, and document updated processes as SOPs.
- Take on additional ad hoc assignments within the Finance department as needed.
Month-End Enablers
- Standard journal templates for recurring postings (salary, depreciation, COGS, intercompany recharges).
- Balance sheet reconciliation templates with a closing checklist to support a shorter close.
Requirements
- Bachelor's degree in Accounting, Finance or a related discipline; professional qualification (ACCA, CPA, CIMA) or progress towards one is an advantage.
- Minimum 5 years' experience in full-set accounting, including Accounts Receivable, month-end closing and audit support.
- Working knowledge of sales taxes (GST/SST/VAT) and withholding tax regulations in SEA countries; exposure to Singapore GST and corporate tax filings is preferred.
- Experience working with external auditors, tax agents and corporate secretaries across multiple entities.
- Advanced Microsoft Excel skills; Power Query, Power BI or similar tools are an advantage.
- Strong problem-solving skills, with the ability to identify issues and propose practical solutions.
- High attention to detail, accuracy and data integrity.
- Excellent communication skills for working with clients, vendors and internal stakeholders.
- Able to work independently, manage multiple priorities and hit month-end deadlines in a fast-paced environment.
