Responsibilities

Admin Assistant, Housekeeping Department
Location: Ascott Star KLCC

We are seeking a dedicated and detail-oriented Admin Assistant to support the daily administrative operations of the Housekeeping Department. The role is responsible for ensuring accurate manpower administration, attendance management, vendor coordination, inventory control, and departmental documentation to support smooth operational efficiency.

Key Responsibilities:

  • Manpower Planning & Shift Administration
  • Assist in preparing and maintaining staff duty rosters and shift schedules.
  • Monitor manpower allocation to ensure adequate staffing levels for daily operations.

Attendance Management & Reporting

  • Maintain and monitor employee attendance records.
  • Prepare attendance reports and highlight discrepancies for management review.
  • Liaise with the HR Department to ensure attendance records are accurately updated in the system.

Overtime (OT) Administration

  • Process and submit overtime claims on behalf of housekeeping staff.
  • Verify supporting documents and ensure compliance with company policies and procedures.

Outsourced Staff Coordination

  • Manage attendance records for outsourced personnel.
  • Track invoices and payment submissions from service providers.
  • Maintain proper documentation to ensure timely payment processing and accurate record-keeping.

Procurement & System Administration

  • Raise Purchase Orders (POs) and monitor procurement requests.
  • Update relevant housekeeping records and systems to ensure information remains accurate and current.
  • Coordinate with internal stakeholders regarding administrative requirements.

Inventory & Stock Management

  • Monitor inventory levels of housekeeping supplies and amenities.
  • Maintain stock records and assist in stock replenishment activities.
  • Support periodic stock take exercises and ensure proper inventory control.

Requirements:

  • Minimum SPM, Certificate, Diploma, or equivalent qualification.
  • Proficient in Microsoft Office applications, particularly Excel and Word.
  • Good organizational skills with strong attention to detail.
  • Able to multitask and work in a fast-paced environment.
  • Experience in administrative support, hospitality operations, or a related field will be an added advantage.

Pay: RM2,400.00 - RM2,700.00 per month
