Job Description

Responsibilities

We are looking for a proactive and detail-oriented HR Executive, Corporate to join our team. The successful candidate will be responsible for managing day-to-day HR operations, supporting recruitment and employee relations, ensuring HR compliance, coordinating payroll and benefits administration, and assisting in the implementation of HR initiatives.

This role is suitable for an HR professional who is organised, people-oriented, and able to work independently while collaborating closely with management and different departments.

KEY RESPONSIBILITIES

Recruitment & Talent Acquisition

  • Manage the end-to-end recruitment process, including job advertisements, candidate screening, interview coordination and selection.
  • Coordinate candidate communication and prepare employment offers and related documentation.
  • Maintain an updated recruitment database and monitor recruitment progress and metrics.
  • Work closely with hiring managers to understand manpower requirements and recruitment needs.

Employee Onboarding & Offboarding

  • Coordinate onboarding activities for new employees, including documentation, orientation and HR system registration.
  • Manage employee resignation and offboarding processes, including clearance, final settlement and exit interviews.
  • Maintain accurate and up-to-date employee records and personnel files.

HR Policies & Compliance

  • Support the implementation and communication of HR policies, procedures and company guidelines.
  • Ensure HR practices comply with applicable labour laws and statutory requirements.
  • Monitor HR compliance matters and assist in implementing corrective actions where required.
  • Support the preparation and maintenance of employment contracts, HR letters, notices and other HR documentation.

Payroll & Benefits Administration

  • Assist in monthly payroll processing by ensuring accurate attendance, leave, overtime and employee data.
  • Manage employee leave, attendance and related HR matters.
  • Assist with employee benefits, medical claims, statutory matters and other employee entitlements.
  • Respond to employee enquiries relating to payroll, benefits, policies and HR procedures.

Employee Relations & Engagement

  • Handle employee enquiries, concerns and workplace matters professionally and promptly.
  • Support employee engagement activities, team-building programmes and company events.
  • Promote positive communication and good working relationships between employees, management and departments.

Training & Development

  • Coordinate internal and external training programmes based on organisational and employee development needs.
  • Maintain training records, attendance and relevant documentation.
  • Assist in monitoring employee development and training outcomes.
  • Support performance appraisal and employee development initiatives.

HR Data & Reporting

  • Maintain and update HR databases, systems and employee records.
  • Prepare regular HR reports relating to recruitment, attendance, leave, turnover and other HR activities.
  • Monitor HR KPIs and follow up on progress and achievement.
  • Assist in preparing HR presentations, reports and documentation for management meetings.

Collaboration & HR Projects

  • Work closely with different departments to support manpower planning and HR requirements.
  • Support the General Manager / HOD – Corporate in HR projects and initiatives.
  • Liaise with external vendors, recruitment platforms, training providers and relevant agencies when required.
  • Identify areas for improvement and assist in implementing initiatives to improve HR processes and service delivery.

REQUIREMENTS

  • Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management or a related field.
  • Minimum 1 years of experience in Human Resources, preferably with exposure to HR operations and recruitment.
  • Good knowledge of HR practices, employment regulations and statutory requirements in Malaysia.
  • Experience in recruitment, employee relations, payroll/attendance administration and HR documentation will be an advantage.
  • Good communication and interpersonal skills.
  • Strong organisational skills with good attention to detail.
  • Able to handle confidential employee information professionally.
  • Proactive, responsible and able to work independently with minimal supervision.
  • Proficient in Microsoft Office, particularly Excel and Word.
  • Experience with HRIS / payroll systems will be an added advantage.
