Responsibilities:
- Documentation & Information Management
- Maintain and organize project documentation, project plans, logs, and templates in centralized repositories (e.g., SharePoint, *************).
- Ensure version control and document accessibility for project teams and stakeholders.
- Assist in maintaining Risk, Action, Issue, and Dependency (RAID) logs under the guidance of senior team members.
- Reporting & Data Tracking
- Assist in collecting, collating, and formatting weekly/monthly project status reports and dashboards.
- Track project milestones, schedules, and deliverables against established baselines.
- Support basic financial tracking, such as logging project expenses, processing invoices, or tracking resource allocations.
- Follow up with relevant stakeholders on outstanding items and pending actions
- Meeting Coordination & Communication
- Schedule project meetings, workshops, and steering committees, managing calendars and sending out agendas.
- Attend meetings to take accurate minutes, capture action items, and follow up with owners to ensure timely execution.
- Act as a point of contact for internal queries, facilitating smooth communication between project teams and stakeholders.
- PMO Governance & Process Support
- Ensure projects comply with PMO methodologies, best practices, and governance frameworks.
- Help onboard new project resources by setting up system access, tools, and standard orientation packages.
- Support continuous improvement initiatives by identifying process inefficiencies or updating PMO templates
Requirements:
Essential
- Bachelor’s degree in Business Administration, Project Management, Information Technology, or a related field (or equivalent practical experience).
- 2 to 5 years of administrative experience, preferably within a corporate, tech, or project-driven environment. (Previous internship or project coordination experience is a strong plus).
- Proficient in Microsoft Office Suite, including Project, PowerPoint, Word, Excel and Visio

- High attention to detail, especially regarding data accuracy and formatting.
- Strong verbal and written communication skills.
- Good Excel and data management skills, with the ability to maintain and analyze project-related data accurately.
