Job Description
Responsibilities
A. Workplace Safety and Health
Promote a safe and healthy working environment by adhering to workplace safety and health requirements.
Support the Occupational Safety and Health (OSH) programme by incorporating safe work practices into daily activities and complying with applicable regulations and company procedures.
B. Order Processing and Customer Coordination
Manage order processing activities, including verifying customer orders, checking order details and following up on outstanding requirements.
Prepare and submit complete order information to the Planner for scheduling and execution.
Follow up with customers to obtain missing information or documentation required to process orders.
Coordinate with booking agents and vessel operators to obtain updates on supply schedules and vessel loading arrangements.
Work closely with the Planner to facilitate timely supply, efficient scheduling and smooth order fulfilment.
Reconcile the daily order records against orders received to ensure all orders are accurately recorded and processed.
C. Delivery Documentation and Billing Support
Ensure delivery orders are received upon job completion and arrange dispatch of the relevant documents.
Forward completed delivery orders to customers as proof of delivery.
Close completed job orders and ensure the necessary information and documentation are available for billing.
D. Customer Service and Relationship Management
Handle customer enquiries and complaints professionally, investigate issues and provide appropriate solutions or alternatives.
Maintain timely, transparent and effective communication with customers to build trust, strengthen business relationships and support customer satisfaction.
E. Other Responsibilities
Perform other relevant duties as assigned by the Supervisor or Management.
