Requirements
Provide comprehensive administrative support to the management and staff of Allied Group Property Services Sdn Bhd, ensuring smooth day-to-day operations at the Bayu Ferringhi Condominium office.
Manage and maintain accurate and organized records, including client information, property listings, and financial documents, utilizing effective record-keeping and data entry skills.
Coordinate and schedule meetings, appointments, and travel arrangements for team members, demonstrating strong organizational and time management abilities.
Serve as a primary point of contact for clients and visitors, delivering excellent customer service and addressing inquiries professionally in English, Bahasa Malaysia, and Mandarin.
Assist with general office management tasks, such as managing office supplies, maintaining equipment, and ensuring a tidy and functional workspace.
Prepare and edit correspondence, reports, presentations, and other documents as required, showcasing strong written and verbal communication skills.
Support the implementation and adherence to company policies and procedures within the property services department.
Responsibilities
Manage and maintain the reception area, ensuring it is tidy, presentable, and welcoming to visitors and residents.
Handle incoming and outgoing mail, deliveries, and courier services, ensuring timely distribution and accurate record-keeping.
Provide administrative support to the property management team, including preparing documents, reports, and presentations.
Maintain and update resident records, databases, and filing systems with accuracy and confidentiality.
Schedule appointments, meetings, and manage calendars for the property manager and other relevant staff.
Respond to resident inquiries via phone, email, and in person, providing information and resolving issues efficiently and courteously.
Assist with the coordination of building maintenance requests, ensuring prompt communication between residents and maintenance staff.
Process payments, invoices, and manage petty cash according to company procedures.
Support the organization of community events and activities within the condominium.
Perform general office duties such as photocopying, scanning, and managing office supplies.
