Job Description

Requirements

  • Minimum of a Diploma in a relevant field (e.g., Event Management, Marketing, Business Administration) or equivalent practical experience.
  • Proven track record of 3-5 years in a Project Coordinator or similar role, with a strong emphasis on exhibitions and events.
  • Demonstrated experience in end-to-end event planning, including conceptualization, execution, and post-event analysis.
  • Proficiency in managing multiple projects simultaneously, ensuring deadlines and objectives are met within budget.
  • Skilled in developing and managing project budgets, including cost estimation, tracking, and financial reporting.
  • Experience in sourcing, negotiating with, and managing vendors and suppliers to ensure quality and cost-effectiveness.
  • Ability to lead and motivate project teams, fostering a collaborative and productive work environment.
  • Strong understanding of creative direction and ability to translate client visions into impactful event designs and decorations.
  • Expertise in logistics management, including transportation, setup, and dismantling of exhibition materials and event infrastructure.
  • Excellent client relations skills, with the ability to build and maintain strong relationships with stakeholders and clients.
  • Proven experience in on-site supervision, ensuring smooth event execution and addressing any issues that arise in real-time.
  • Fluency in English and Bahasa Malaysia is essential; proficiency in Mandarin (ZH) is a significant advantage.

Responsibilities

  • Oversee the end-to-end project lifecycle for exhibitions and events, from initial concept and planning through to execution and post-event analysis.
  • Collaborate closely with clients to understand their vision, objectives, and budget, translating requirements into actionable project plans.
  • Manage and coordinate all logistical aspects of events, including venue selection, vendor sourcing and management, transportation, and on-site setup/dismantling.
  • Develop and meticulously manage project budgets, tracking expenses, identifying cost-saving opportunities, and ensuring projects remain within financial parameters.
  • Lead and motivate project teams, providing clear direction, delegating tasks effectively, and fostering a collaborative and productive work environment.
  • Act as the primary point of contact for clients, vendors, and internal stakeholders, ensuring clear and consistent communication throughout all project phases.
  • Conduct on-site supervision during events to ensure smooth operations, troubleshoot any issues that arise, and maintain high standards of quality and client satisfaction.
  • Contribute creative direction and innovative ideas to enhance the overall impact and success of exhibitions and events.
