Job Description

Requirements

  • Provide administrative support including filing, scanning, and organizing documents.

  • Assist with data entry tasks, ensuring accuracy and efficiency in record keeping.

  • Handle incoming and outgoing mail and correspondence.

  • Maintain office supplies inventory and place orders as needed.

  • Answer and direct phone calls, take messages, and greet visitors.

  • Support team members with various clerical duties as assigned.

  • Must be fluent in Mandarin, both written and spoken, to communicate with clients and internal staff.

  • Basic understanding of office procedures and equipment.

  • Ability to manage multiple tasks and prioritize workload effectively.

  • Strong attention to detail for accurate data handling and document management.

Responsibilities

  • Assist with daily administrative tasks such as filing, scanning, and organizing documents to maintain an efficient office environment.

  • Perform data entry accurately and efficiently into various company systems and databases, ensuring data integrity.

  • Handle incoming and outgoing mail and deliveries, sorting and distributing them to the appropriate departments or personnel.

  • Respond to internal and external inquiries via phone, email, or in person, providing basic information and directing queries to the relevant staff.

  • Support the preparation of reports, presentations, and other documents as required by management.

  • Maintain office supplies inventory and place orders when necessary to ensure adequate stock levels.

  • Provide basic translation assistance between Mandarin and English speakers when required for communication purposes.

  • Assist with scheduling appointments and managing calendars for team members.

  • Help maintain a clean and orderly reception area and general office space.
