Job Description

Requirements

  • Diploma or Degree in Human Resources, Business Administration, Office Management, Management, or related field.

  • Minimum 1 to 3 years of working experience in HR administration, office administration, ISO documentation, document control, or related functions.

  • Fresh graduates with strong documentation discipline and willingness to learn ISO document control are encouraged to apply.

  • Good administrative, filing, documentation, and recordkeeping skills.

  • Strong attention to detail in document numbering, revision control, and audit documentation.

  • Proficient in Microsoft Office applications including Word, Excel, and Outlook.

  • Able to communicate effectively in English, Bahasa Malaysia and Mandarin.

  • Basic understanding of ISO 9001:2015 document control is an added advantage.

Responsibilities

  • Maintain employee personal files, leave records, attendance summaries, onboarding documents, and HR administrative records.

  • Assist in preparing employment letters, warning letters, memos, and other HR-related documentation.

  • Support recruitment administration including job posting, interview arrangement, and onboarding preparation.

  • Maintain ISO 9001:2015 document control records, SOPs, forms, revision history, and controlled document distribution.

  • Prepare, organize, file, scan, and archive ISO and administrative documents systematically.

  • Support internal and external audit preparation, corrective action follow-up, and audit evidence compilation.

  • Coordinate office administrative matters including stationery, filing, utilities, maintenance, and training arrangements.

  • Assist Senior Procurement Executive cum ISO Coordinator with supplier documentation and procurement-related records.

  • Follow up on incomplete records, pending signatures, and document updates.

  • Support other administrative duties assigned by management from time to time.
