Requirements
Diploma or Degree in Human Resources, Business Administration, Office Management, Management, or related field.
Minimum 1 to 3 years of working experience in HR administration, office administration, ISO documentation, document control, or related functions.
Fresh graduates with strong documentation discipline and willingness to learn ISO document control are encouraged to apply.
Good administrative, filing, documentation, and recordkeeping skills.
Strong attention to detail in document numbering, revision control, and audit documentation.
Proficient in Microsoft Office applications including Word, Excel, and Outlook.
Able to communicate effectively in English, Bahasa Malaysia and Mandarin.
Basic understanding of ISO 9001:2015 document control is an added advantage.
Responsibilities
Maintain employee personal files, leave records, attendance summaries, onboarding documents, and HR administrative records.
Assist in preparing employment letters, warning letters, memos, and other HR-related documentation.
Support recruitment administration including job posting, interview arrangement, and onboarding preparation.
Maintain ISO 9001:2015 document control records, SOPs, forms, revision history, and controlled document distribution.
Prepare, organize, file, scan, and archive ISO and administrative documents systematically.
Support internal and external audit preparation, corrective action follow-up, and audit evidence compilation.
Coordinate office administrative matters including stationery, filing, utilities, maintenance, and training arrangements.
Assist Senior Procurement Executive cum ISO Coordinator with supplier documentation and procurement-related records.
Follow up on incomplete records, pending signatures, and document updates.
Support other administrative duties assigned by management from time to time.
