Schedule and coordinate meetings, appointments, and travel arrangements for management and staff, optimizing their time and productivity.
Serve as a primary point of contact for internal and external inquiries, demonstrating excellent communication skills in both English and Bahasa Malaysia.
Implement and maintain effective time management strategies to prioritize tasks and meet deadlines in a fast-paced environment.
Proactively identify and resolve administrative issues, utilizing strong problem-solving abilities to ensure smooth office functioning.
Perform accurate and timely data entry for various reports, databases, and administrative systems, maintaining a high level of attention to detail.
Develop and implement organizational systems to streamline office processes and improve overall efficiency.
Assist in the preparation of reports, presentations, and other documents as required by management.
Responsibilities
Manage and maintain the company's filing system, ensuring all documents are organized, accessible, and securely stored.
Handle incoming and outgoing correspondence, including emails, mail, and phone calls, directing them to the appropriate personnel.
Schedule and coordinate meetings, appointments, and travel arrangements for management and staff, ensuring efficient use of time and resources.
Assist in the preparation of reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
Maintain office supplies inventory, placing orders as needed and ensuring adequate stock levels.
Provide general administrative support to the team, including data entry, photocopying, scanning, and other clerical tasks.
Act as a point of contact for visitors and clients, providing a professional and welcoming reception.
Support the HR department with administrative tasks related to employee onboarding, record management, and general HR queries.
Ensure the office environment is tidy and well-maintained, coordinating with facilities management when necessary.
Assist in the planning and execution of company events and activities.
