Job Description

Requirements

  • Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.

  • 3–5 years of experience as a personal assistant, admin executive, or office coordinator.

  • Prior experience in supervising executive admin staff or receptionist is preferred.

Technical and Professional Knowledge:

  • Excellent verbal and written communication skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

  • Professional demeanor and the ability to interact with stakeholders at all levels.

  • Discretion and confidentiality are essential.

  • Strong time management and the ability to work under pressure.

Responsibilities

An Administrative Manager is responsible for leading the daily administrative activities within the organization, ensuring efficiency, compliance, and high service standards. This role includes supervising administrative staff, developing streamlined processes, managing facilities, and supporting cross-functional teams.

Design and maintain administrative systems
Develop, implement, and refine processes and procedures to streamline operations and ensure productivity.

Facilities oversight
Liaise with internal or external teams to organize repairs, refurbishments, and manage office environment

Office supplies and equipment management
Track inventory, order supplies, arrange equipment maintenance, and coordinate with vendors

Event and project coordination
Plan and manage internal events (e.g. training, meetings, celebrations) and oversee ad-hoc administrative projects

Budgeting and cost control
Prepare and monitor budgets for supplies, equipment, and services; identify cost-saving opportunities

Compliance

Company licensing due data monitoring and renewal

Travel Arrangement

Organize travel arrangements including flight booking, visa, accommodation and itineraries

Supervise and support the receptions to ensure smooth front desk operation

Other task as assigned by CEO
