About the role
We are seeking an Admin Assistantto join Herb & Fashion Sdn Bhd in Johor Bahru, Johor. This is afull-time position that plays a vital role in supporting the smooth operation of our administrative functions. As an Admin Assistant, you will be the backbone of our office operations, ensuring that all administrative tasks are executed efficiently and professionally. This position is essential to our company's success, providing crucial support to management and various departments whilst maintaining the organisational standards that define our business.
What we're looking for
Proven experience working as an Administrative Assistant or in a similar administrative support role
Excellent organisational and time management skills with the ability to prioritize multiple tasks effectively
Strong written and verbal communication skills in Mandarin, English and Malay. We are looking for Mandarin-speaking candidates who will be serving Mandarin-speaking customers.
Proficiency in Microsoft Office applications including Word, Excel and PowerPoint
Attention to detail and a commitment to accuracy in all administrative tasks
Professional demeanour and the ability to work collaboratively with colleagues across all levels
Flexibility and adaptability when responding to changing business priorities
A proactive approach to problem-solving and the ability to work independently when required
Discretion and confidentiality when handling sensitive company information

Responsibilities
What you'll be doing
Managing and organising office schedules, appointments and meetings for staff members
Handling incoming and outgoing correspondence, including emails, letters and parcels
Maintaining and updating company databases and filing systems, ensuring accurate record-keeping
Preparing and formatting documents, reports and presentations as required
Providing general administrative support to senior staff and management
Managing office supplies and equipment inventory, ordering as needed
Assisting with reception duties and greeting visitors in a professional manner
Coordinating office events, meetings and travel arrangements
Processing expense reports and assisting with financial administration tasks
Performing general clerical duties to support daily office operations
