Job Description

Requirements

  • Assist in the preparation and filing of statutory documents with the Companies Commission of Malaysia (SSM) and other relevant authorities.

  • Maintain accurate and up-to-date statutory registers, including the register of members, directors, and secretaries.

  • Support the organization and logistics of board meetings, committee meetings, and annual general meetings, including preparing agendas, distributing notices, and taking minutes.

  • Manage and maintain company secretarial records, ensuring compliance with legal and regulatory requirements.

  • Provide administrative support to the company secretarial department, including document management, correspondence, and general office duties.

  • Conduct basic research on company law and corporate governance principles as required.

  • Assist in the preparation of resolutions, circulars, and other corporate documents.

  • Ensure all company secretarial filings are completed accurately and within statutory deadlines.

  • Handle general administrative tasks such as scanning, photocopying, and filing of important company documents.

  • Liaise with internal departments and external stakeholders as needed for company secretarial matters.

Responsibilities

  • Assist in the preparation and filing of statutory documents with the Companies Commission of Malaysia (SSM), ensuring compliance with relevant laws and regulations.

  • Maintain accurate and up-to-date statutory registers, including the register of members, directors, and secretaries.

  • Provide administrative support for board and committee meetings, including scheduling, preparing agendas, distributing board packs, and taking minutes.

  • Manage and organize company secretarial records, ensuring efficient document management and retrieval systems are in place.

  • Support the company secretary in ensuring compliance with corporate governance best practices and company law requirements.

  • Handle general administrative tasks such as correspondence, filing, and data entry to support the smooth operation of the secretarial department.

  • Assist in the preparation of annual returns and other required filings.

  • Liaise with internal departments and external parties, including auditors and legal advisors, as directed.
