1. Secretariat Management
Serve as the overall lead and head of the PSS Secretariat, responsible for the day-to-day and long-term operational effectiveness of the office
Set the direction and priorities of the Secretariat in alignment with PSS Council's strategic goals
Act as the first point of accountability for all Secretariat matters — operational, financial, people and administrative
Ensure the Secretariat operates as a high-functioning, professional and service-oriented team at all times
Represent the Secretariat in all internal and external matters, ensuring timely and appropriate reporting of all relevant issues to the PSS Council
Strategically review and approve process improvement initiatives across administrative and financial functions
Ensure business continuity planning for the Secretariat
Propose and enforce PSS policies and Secretariat SOPs, subject to Council approval
Conduct periodic policy reviews and recommend updates to Council
2. Oversight of Society’s workplans
Support event chairs in monitoring event budgets, themes and key partnerships for all programmes and activities
Drive and support annual workplans for events and training activities, ensuring alignment with PSS Council's strategic priorities and financial targets
Monitor workplan progress and milestones, providing regular updates to the PSS Council and making timely adjustments where necessary
Support the Training Academy Chair in the development, delivery and sustainability of all training programmes, courses and workshops organised by PSS
Monitor training programme feedback and evaluation scores to ensure programmes maintain quality, relevance and value for PSS members
3. Financial Leadership & Revenue Sustainability
Support the tracking of the Society's annual budget; monitor expenditure and report on budget variances to the PSS Council
Accountable for driving and sustaining annual revenue in alignment with PSS expenditure
Leverage on PSS’s strategic priorities to seek sponsorship short and long term
Present financial performance reports to the PSS Council
4. Stakeholder & Relationship Management
Serve as a key point of contact for external stakeholders and partners, working collaboratively with Council members where relevant
Build and maintain institutional partnerships relevant to PSS's mission
Represent the PSS Secretariat at relevant external meetings and collaborations, as assigned by the PSS Council
5. Secretariat Leadership
Directly supervise and manage the Assistant Manager and all Secretariat support staff
Conduct performance appraisals and set KPIs for team members in consultation with the relevant Council member
Propose training and development plans for all Secretariat staff, subject to Council member endorsement
6. Digital Strategy & Membership Growth
Propose and prioritise digital investment decisions for Council's approval, in consultation with the Honorary Treasurer
Drive membership growth initiatives and oversee CRM strategy
Strategically direct the development and improvement of the PSS website, LMS and membership systems
The Pharmaceutical Society of Singapore (PSS) is the professional organisation representing pharmacists in Singapore. Founded in 1905 as the Straits Pharmaceutical Society, today it is steered by an elected council comprising a president and 11 council members. Our membership comprises pharmacists practicing in the community, hospital, marketing/sales/ distribution and academic sectors. PSS is a non-profit organisation.
The mission of the PSS is to "Maximise the contribution of pharmacists to the healthcare of Singaporeans". To this end, we have adopted a two-pronged strategy - to upgrade pharmacists professionally and to reach out to the public through health education programmes.
The society aims to provide Singaporeans with high quality pharmaceutical services, which emphasize safe, efficacious and cost effective drug treatments.
