Project Systems & Operations Coordinator

Property Development & Construction | Full-Time

The Opportunity

We are looking for a proactive, digitally savvy individual to support our property development projects and help build smarter ways of working.

This role combines project administration, operational coordination and AI-enabled process improvement. Beyond managing documents and deadlines, you will use AI and digital tools to streamline workflows, solve problems and improve team efficiency.

What You'll Do

• Project Administration: Maintain project trackers, document registers, filing systems, submissions and correspondence.
• Coordination & Follow-ups: Liaise with consultants, contractors and authorities, track deadlines and ensure outstanding matters are followed through.
• AI & Automation: Use tools such as ChatGPT, Claude, Excel and other digital platforms to reduce repetitive work and improve productivity.
• Systems Improvement: Identify bottlenecks, develop better workflows and implement practical solutions for project tracking, reporting and document management.
• Problem-Solving: Take initiative, resolve routine operational issues and flag matters requiring management decisions.

Who We're Looking For

• Ideally 1 to 3 years of experience in administration, project coordination or operations.
• Organised, detail-oriented and proactive, with strong ownership and follow-through.
• Comfortable using AI tools and digital platforms, with an interest in automation and process improvement.
• Able to solve problems, manage multiple priorities and work independently.
• Proficient in Microsoft Office, particularly Excel, and fluent in English and Bahasa Malaysia.
• Property development or construction experience is an advantage.
