1. Recruitment & Hiring
- Manage the full recruitment process from job posting, screening, interview arrangement, selection and onboarding.
- Prepare job advertisements and source suitable candidates through various recruitment platforms.
- Conduct initial interviews and coordinate interviews with hiring managers.
- Prepare offer letters, employment contracts and related recruitment documents.
- Ensure all new employees complete the required joining documents.
2. Employee Administration
- Maintain and update employee personal records and HR database.
- Manage employee documentation, employment contracts, confirmation, transfer, promotion and salary adjustment records.
- Monitor employee probation and confirmation status.
- Prepare HR letters such as reminder letters, warning letters, show cause letters and other official correspondence.
- Maintain proper and confidential filing of HR documents.
3. Attendance & Leave Management
- Monitor daily staff attendance, lateness, absenteeism and unauthorized leave.
- Manage Annual Leave (AL), Medical Leave (MC), Emergency Leave and other types of leave.
- Maintain and update leave and attendance records.
- Follow up with employees and department heads regarding attendance issues.
- Prepare attendance reports for payroll and management review.
4. Payroll & Statutory Contributions
- Assist in monthly payroll preparation and verification.
- Check salary, allowances, deductions, overtime, unpaid leave, lateness and other payroll adjustments.
- Ensure statutory contributions such as EPF, SOCSO, EIS and PCB are properly calculated and submitted.
- Coordinate with Finance regarding payroll-related matters.
- Maintain payroll records and ensure confidentiality of employee salary information.
5. Employee Relations
- Handle employee complaints, grievances and workplace issues.
- Assist management in resolving employee-related matters professionally and fairly.
- Conduct counselling sessions where necessary.
- Monitor disciplinary cases and ensure proper documentation.
- Handle cases involving misconduct, absenteeism, poor performance and violation of company policies.
6. Performance Management
- Monitor employee performance and probation evaluations.
- Coordinate performance appraisal and KPI processes.
- Assist management in preparing salary increment, promotion and confirmation recommendations.
- Track employees' performance improvement plans where required.
7. HR Policies & Employee Handbook
- Develop, update and implement HR policies, procedures and employee handbook.
- Ensure employees understand company rules, regulations and benefits.
- Monitor compliance with company policies and applicable employment requirements.
- Communicate HR policies and changes to employees.
8. Training & Development
- Identify training needs together with department heads.
- Coordinate internal and external training programmes.
- Maintain training records and attendance.
- Monitor employee participation and training effectiveness.
9. Employee Welfare & Engagement
- Assist in organising employee activities, company events and staff engagement programmes.
- Handle employee welfare matters and staff benefits.
- Support management in maintaining a positive working environment.
10. Labour & Statutory Compliance
- Ensure HR practices comply with applicable Malaysian employment laws and regulations.
- Maintain proper records relating to employment, leave, working hours, disciplinary matters and employee benefits.
- Liaise with relevant authorities when required.
- Keep updated on changes to employment-related requirements.
11. HR Reporting
- Prepare monthly HR reports for management, including:
- Headcount report
- Staff turnover
- Attendance and absenteeism
- MC and leave records
- Overtime
- Recruitment status
- Probation and confirmation status
- Warning/reminder cases
- Training records
- Payroll-related HR reports
12. General HR Duties
- Provide HR support and advice to employees and management.
- Assist in HR projects and company initiatives.
- Maintain confidentiality of employee and company information.
- Perform any other HR-related duties assigned by the HR Manager or Management.
Pay: RM2,800.00 - RM3,000.00 per month
