Job Description

Responsibilities

We are looking for a meticulous and organised Project Accounts Assistant to provide financial and administrative support for special projects and initiatives. The role will assist with project-related payments, claims, expenditure tracking, budget monitoring and financial documentation, while working closely with colleagues across the organisation to ensure that project finances are accurately recorded and properly managed. This is a good opportunity for someone with an interest in accounting who is keen to build practical experience in project finance and financial administration.


[Key Responsibilities]

Project accounts & financial administration

  • Assist with the day-to-day financial administration of special projects and initiatives.
  • Assist in processing and checking project-related payments, claims, reimbursements and other financial transactions.
  • Assist with recording project transactions in the accounting system and performing project-related reconciliations.
  • Maintain accurate records of project income, expenditure and financial commitments.
  • Follow up on outstanding invoices, claims and other financial transactions as required.


Budget & expenditure tracking

  • Assist the COO in tracking project expenditure against approved budgets.
  • Maintain up-to-date records of project spending, commitments and available balances.
  • Assist in preparing expenditure summaries and financial updates for project monitoring and reporting.
  • Assist with cashflow and payment planning for special projects as required.
  • Highlight discrepancies, significant variances or other financial issues to the COO or Finance team.


Project documentation & compliance

  • Work with project teams to obtain and organise invoices, receipts, approvals and other financial documentation required for project activities.
  • Maintain complete and orderly financial records for individual projects.
  • Assist with the preparation of financial documentation for project reporting, audits and project close-out.
  • Ensure project financial records are properly maintained and filed in accordance with organisational procedures.


Coordination & support

  • Liaise with the Finance team and relevant colleagues on project-related financial matters, including outstanding approvals and supporting documentation.
  • Assist with procurement and payment processes relating to special projects.
  • Provide administrative and coordination support to the COO on project-related matters where required.


Other responsibilities

  • Assist with other accounting and financial administration tasks as required.
  • Undertake other duties and special projects assigned by the COO or as required by management.


[Job Requirements]

Education

  • Diploma or Degree in Accounting, Finance, Business Administration, or related field from a recognised institution.
  • Candidates with relevant accounting qualifications or certificates are encouraged to apply.


Experience

  • Fresh graduates or candidates with 1-2 years of relevant experience in accounting, finance or administration are encouraged to apply.
  • Experience handling financial records, invoices, claims or administrative documentation would be an advantage.


Key competencies

  • Basic understanding of accounting principles and financial processes.
  • Good numerical skills and attention to detail.
  • Basic to good proficiency in Microsoft Excel and other Microsoft Office applications.
  • Familiarity with accounting software is an advantage.
  • Ability to maintain accurate records and organise financial documentation.
  • Good written and verbal communication skills.

Terms of appointment

This position is open to suitably qualified Malaysian citizens and is offered on a fixed-term contract of two (2) years, inclusive of a six (6)-month probationary period, with the possibility of renewal.
