ABOUT ALETA PLANET

Aleta Planet is a Singapore-based fintech and payment services provider, licensed and regulated by the Monetary Authority of Singapore as a Major Payment Institution and a Principal Member of VISA. We build cross-border payment infrastructure, multi-currency business accounts, card issuance and API integrations. Founded in 2014, we now operate across Hong Kong, Dubai, Malaysia and Canada.

ABOUT THE ROLE

This is the person who keeps the company running underneath everything else.

It is genuinely three jobs, and we'd rather say so plainly than have you discover it in month two.

You run the office. Everything from the aircon service contract to the pantry to the access cards. When something breaks, you're the one who gets it fixed — not the one who reports that it's broken.

You own HR administration. Contracts, onboarding, personnel files, leave, payroll inputs, work pass applications, offboarding. We're a licensed financial institution, so some of this carries real compliance weight — pre-employment screening isn't a formality here.

You are the founder's executive assistant. His calendar across five time zones, his travel, his correspondence, his expenses, and the things that need chasing. Some of it will be personal rather than company business, and that is part of the job.

The honest version of the deal. These three strands pull against each other. The CEO's diary is urgent and moves constantly; HR deadlines are immovable but quiet; the office needs attention the moment something fails. The person who does well here is organised enough to hold all three without dropping any, and senior enough in their judgement to say when something has to give.

What you get for it is the view. You'll know how the company actually works — who does what, what's coming, what's being decided — earlier and more completely than almost anyone else here.

One thing is non-negotiable. You will see salaries, personnel files, board papers and the founder's personal affairs. Discretion isn't a nice-to-have in this role; it's the foundation of it.

WHAT YOU'LL DO

Office and facilities

• Keep the office running day to day — meeting rooms, pantry, supplies, equipment, general upkeep

• Manage office vendors and service contracts: cleaning, pest control, air-conditioning, water and coffee, couriers, printers

• Liaise with building management on access cards, maintenance, incidents and fire drills

• Order and control office and pantry supplies within budget

• Handle incoming and outgoing mail and courier arrangements, and receive visitors

• Coordinate repairs, equipment purchases, seating changes and any office moves or renovations

• Maintain workplace safety and first aid provisions

• Code and submit office-related invoices to Finance, and keep spend within budget

HR administration

• Prepare offer letters, employment contracts and letters of variation

• Run onboarding end to end: paperwork, desk, laptop, system access, induction schedule, first-day experience

• Run offboarding: exit checklist, equipment return, access revocation, clearance, exit interview scheduling

• Maintain personnel files and HR records accurately, completely and confidentially

• Administer leave and attendance, and keep records current

• Collate monthly payroll inputs — new joiners, leavers, claims, leave, changes — and hand them to Finance or our payroll provider on time

• Support statutory obligations: CPF, IR8A and IR21, MOM surveys and submissions

• Manage work pass applications, renewals, appeals and cancellations (Employment Pass, S Pass, dependant passes)

• Coordinate pre-employment screening in line with our regulatory obligations

• Coordinate recruitment: post roles, schedule interviews, manage candidate communications, arrange reference checks

• Maintain the employee handbook and HR policies, and help roll out changes

• Support the performance review cycle — scheduling, forms, chasing completion

• Administer training records and any applicable grants or claims

• Organise staff events, celebrations and team gatherings

Executive and personal assistance to the Founder / CEO

• Manage his calendar and schedule meetings and calls across Singapore, Hong Kong, Dubai, Malaysia and Canada

• Arrange travel end to end: flights, hotels, visas, ground transport, detailed itineraries

• Prepare meeting materials in advance, take notes, and chase action points to closure

• Draft and manage correspondence on his behalf

• Process his expense claims and reconcile his corporate card

• Screen and prioritise what reaches him, and protect his time

• Handle confidential documents and information with complete discretion

• Provide personal administrative support as required — appointments, personal travel and related arrangements

WHAT WE'RE LOOKING FOR

• Diploma or Degree in any discipline — Human Resources, Business Administration or a related field is an advantage but not required

• 2 – 5 years in office administration, HR administration or executive support; a blend of all three is ideal

• Exceptionally organised. You hold many small commitments at once without dropping any, and you have an actual system for it rather than a good memory

• Completely discreet. You will handle salary data, personnel files, board matters and the founder's personal affairs, and none of it goes anywhere

• Resourceful. When something breaks or someone is unavailable, you find the way through rather than escalating it back

• Working knowledge of Singapore employment practice — MOM work passes, CPF, leave entitlements, statutory filings — or the ability to get up to speed quickly and go and find the answer

• Strong written English; you'll be drafting correspondence that goes out under someone else's name

• Confident with Microsoft 365 — Outlook, Word, Excel, Teams, SharePoint

• Calm with shifting priorities and comfortable when the day doesn't go to plan

• Able to take on personal tasks for the founder alongside company work without resentment

• Sound judgement about what matters, what can wait, and what needs to be raised

WHAT YOU'LL LEARN

• How a licensed, MAS-regulated financial institution is actually run, from inside the room

• Singapore HR practice end to end — the employment lifecycle, statutory obligations, work passes and screening in a regulated environment

• How decisions get made at founder level, and why

• Vendor and budget management

• Clear progression toward an HR generalist, HR Manager or Chief of Staff path, depending on which part of this you turn out to love
