Job Description

Responsibilities

Role Description

We are seeking an organized and service-oriented property professional to support facilities coordination, property administration, or leasing activities. You will work with tenants, prospective occupiers, contractors, and internal colleagues to address property requirements and maintain accurate records. Responsibilities will vary according to the assigned position and property portfolio.

For facilities responsibilities, you will coordinate routine inspections, preventive maintenance schedules, repair requests, and contractor visits. You will track outstanding issues, review service completion records, and escalate defects or disruptions that require specialist attention. You may also assist with obtaining quotations, monitoring service contracts, and tracking expenditure against approved budgets.

For property responsibilities, you will respond to tenant enquiries, coordinate move-in and move-out arrangements, and support day-to-day property administration. This may include maintaining tenancy records, preparing notices, coordinating access arrangements, and following up with relevant teams on billing enquiries or service concerns. You will help ensure that requests are documented and addressed within agreed timelines.

For leasing responsibilities, you will handle prospective tenant enquiries, arrange property viewings, and prepare leasing proposals and supporting documents. You will maintain vacancy listings, research comparable properties, and support negotiations within approved commercial terms. The role also involves tracking lease expiries, coordinating renewal discussions, and working with relevant colleagues on documentation and unit handovers.

Qualifications

  • A diploma or degree in Real Estate, Facilities, Building Services, Business Administration, or a related discipline is preferred; relevant practical experience will also be considered.
  • Experience in facilities coordination, property administration, leasing, tenant relations, or a related service role.
  • Strong communication skills and the ability to work professionally with tenants, prospective occupiers, contractors, and property owners.
  • Good organizational skills, with the ability to coordinate multiple requests, appointments, and deadlines.
  • For facilities responsibilities, a practical understanding of maintenance processes, building services, and contractor coordination.
  • For property responsibilities, familiarity with tenancy administration, service requests, property inspections, and handover procedures.
  • For leasing responsibilities, confidence in conducting viewings, preparing proposals, and supporting commercial discussions.
  • Ability to review quotations, maintain expenditure records, and identify discrepancies for follow-up.
  • Attention to detail when preparing correspondence, updating property records, and checking lease documentation.
  • Proficiency in Microsoft Office, Google Workspace, or relevant property and facilities software.
  • Sound judgment when prioritizing urgent issues and escalating matters requiring technical or specialist advice.
  • Willingness to attend property inspections, tenant meetings, or scheduled site activities as required.
