The Senior Accounts Executive is responsible for supporting the day-to-day Accounts Payable operations, with a focus on payment processing and execution, bank accounts administration, and compliance with internal controls and company policies. The role ensures the accuracy, completeness, and timelines of all payable transactions while maintaining proper documentation and supporting audit requirements.
Key Responsibilities
1.Payment Processing & Execution
- Perform pre-payment checks to ensure completeness of supporting documents, compliance with approval matrix and internal controls.
- Perform three-way matching of invoices against purchase orders and goods received notes
- Prepare and execute payments including vendor payments, intercompany transactions, staff claims, and statutory payments
- Ensure accuracy of payment details and adherence to payment schedules
- Liaise with internal departments, overseas offices and related companies to resolve payment related issues promptly.
- Verify and generate payment batches in the system (SAP)
2.Bank Accounts Administration
- Maintain and update the company’s bank account master list, signatories, user access, tokens, and mandate documentation.
- Coordinate with banks and handle bank documentation for account opening, closing and maintenance, change of bank modes, KYC/AML updates and compliance.
- Online banking platform administration, including coordination for user creation, access rights, and periodic access reviews.
- Liaise with banks to resolve bank accounts related issues promptly.
3.Compliance & Process Improvement
- Ensure adherence to internal controls, financial policies, and audit requirements
- Maintain proper documentation and filing for audit and compliance purposes
- Identify opportunities for process improvements to enhance efficiency and accuracy
- Support system enhancements, implementation, and UAT where applicable
4.Other Responsibilities
- Support preparation of reports related to Accounts Payable, where required
- Support treasury functions, including preparation of letter of confirmation for fixed deposit placement and withdrawal
- Support internal and external audit requirements, including coordination with banks for annual audit confirmations.
- Perform any other tasks, duties, and ad-hoc assignments as required or assigned by the Manager or Management from time to time
Qualifications & Experience
- Bachelor’s degree in accounting, Finance, or related discipline
- Professional qualification (e.g., ACCA, CPA) is an added advantage
- Candidates with 5–10 years of relevant working experience in Accounts Payable or general accounting are encouraged to apply
- Basic understanding of accounting principles and financial processes
- Proficiency in MS Office and banking portals, knowledge in SAP is an added advantage.
