Job Description:
1. HR, Administration & Finance Support
- Provide day-to-day HR and office administrative support.
- Support Finance with petty cash, payments, reimbursements, salary advances, claims, and related documentation.
- Prepare weekly petty cash statements and monthly timesheets, including driver and ADL timesheets.
- Maintain company records, files, payments, and administrative documentation.
- Manage office supplies, pantry items, name cards, parking, Touch ‘n Go, and other office-related requirements.
- Coordinate office facilities and service arrangements, including printers, air-conditioning, pest control, etc.
- Support employee onboarding, including offer/appointment letters, asset handover, and IT coordination.
- Support drivers with documentation, timesheets, petrol, and Touch ‘n Go arrangements.
- Assist with events, job fairs, banners, pamphlets, and other company activities, including weekend support when required.
2. Tender Administration & Support
- Assist with tender preparation, compilation, translation, clarification, signing, submission, and follow-ups.
- Support PERKESO tender documentation and client submissions, including invoice handovers.
- Monitor tender portals for new opportunities and coordinate with the relevant team.
- Follow up with Presales on pending tender documents and submission requirements.
3. Management & Team Support
- Provide administrative and operational support to senior management and team members.
- Handle expense claims and related documentation for senior managers.
- Coordinate meetings, including room bookings, food and beverages, and logistics.
- Support urgent/weekend meetings when required.
- Assist with flights, hotels, visas, and other travel arrangements for management and employees.
4. Government & External Office Liaison
- Handle document submissions, collections, and follow-ups with LHDN, JTKSM, EPF, PERKESO, HRDC, banks, and other external offices.
- Assist with IKADs, Employment Passes, bank statements, LHDN stamping fees, and related documentation.
5. Asset Management
- Manage asset handover, return, replacement, repair, and tracking.
- Maintain updated asset records and coordinate employee asset-related issues with IT.
6. Travel Management – Malaysia
- Manage domestic travel arrangements, including flights, hotels, and related logistics.
- Ensure travel bookings are accurate, cost-effective, timely, and properly documented with the required approvals.
Requirements:
- Diploma/Degree in HR, Business Administration, Finance, or a related field.
- 1–3 years of experience in HR or office administration.
- Experience in documentation, claims, petty cash, timesheets, and general office administration.
- Good organizational, communication, and coordination skills.
- Proficient in Microsoft Office, especially Excel and Word.
- Able to multitask, work independently, and meet deadlines.
- Willing to travel locally and provide occasional weekend support when required.
- Good command of English and Bahasa Malaysia.
Pay: RM2,000.00 per month
