Job Description

Responsibilities

The Senior Executive, Payroll & Benefits is responsible for managing end-to-end payroll operations and benefits administration for Khind employees in Malaysia. The role ensures payroll accuracy, statutory compliance, timely reporting, effective administration of employee benefits, and seamless support throughout the employee lifecycle, including onboarding and offboarding, while delivering a positive employee experience.


Key Responsibilities:

1. Payroll Administration

  • Manage the full monthly payroll cycle for Khind Malaysia employees.
  • Process payroll transactions accurately and within established timelines, including new hires, confirmations, transfers, promotions, salary revisions, resignations, overtime claims, allowances, deductions, bonuses and incentive payments.
  • Prepare monthly payroll reports and payroll journals for Finance.
  • Maintain accurate, complete and confidential payroll records.
  • Review and reconcile payroll data to ensure accuracy and identify discrepancies.
  • Resolve payroll discrepancies and employee payroll enquiries promptly and professionally.


2. Benefits Administration

  • Administer employee benefits and insurance programmes, including outpatient medical, hospitalization, group insurance and wellness benefits.
  • Manage employee enrolment, changes and termination of benefit coverage.
  • Liaise with insurance providers, healthcare partners and other external vendors on claims and policy administration.
  • Monitor benefit-related transactions and ensure accurate and timely processing.
  • Provide guidance to employees on benefits eligibility, coverage and claims processes.


3. Statutory Compliance & Audit

  • Ensure compliance with payroll-related statutory requirements and applicable employment legislation.
  • Process, reconcile and submit statutory contributions and payments, including EPF, SOCSO, EIS, MTD and HRD Corp Levy.
  • Prepare and issue annual Form EA and other relevant employee tax documents, including CP22A and CP21.
  • Maintain proper documentation and records to support statutory compliance.
  • Support internal and external payroll and statutory audits by preparing required documentation and responding to audit queries in a timely manner.


4. HRIS & Reporting

  • Maintain accurate employee master data in the HRIS and payroll systems.
  • Ensure data integrity through regular data audits, reconciliation and validation exercises.
  • Support payroll system enhancements, automation initiatives and process improvements, including leave and attendance management.
  • Generate monthly manpower cost, payroll and attrition reports for management review.
  • Prepare ad hoc HR and payroll reports and analysis as required by management.
  • Identify opportunities to improve payroll processes, controls and overall operational efficiency.
