About the Role

The Imperial Group seeks an experienced, commercially astute and technically knowledgeable Technical Commercial & Contracts Manager to oversee supplier contracts, technical documentation, procurement, project costing and operational quality across its international exhibitions business.

This senior role requires practical exhibition-industry expertise, strong commercial and contractual knowledge, independent judgement, leadership skills and cross-border experience. The successful candidate will protect commercial interests, strengthen operational controls and support projects across the UAE, Singapore, the United States and Europe.

Key Responsibilities

1. Commercial and Contract Management

  • Review, negotiate and manage supplier contracts, subcontractor agreements, purchase orders and commercial commitments.
  • Identify unfavorable terms, pricing discrepancies, scope gaps, financial exposure and potential liabilities.
  • Review payment terms, delivery obligations, cancellations, variations, indemnities, warranties, insurance and termination clauses.
  • Ensure supplier agreements align with client commitments, approved quotations, budgets and technical specifications.
  • Cross-check quotations, contracts, bills of quantities, purchase orders and deliverables.
  • Establish contract-review and approval procedures, assess commercial risks and resolve supplier disputes where appropriate.
  • Monitor project margins, procurement commitments, cost variations and potential overruns.

2. Cross-Border Commercial Management

  • Manage commercial agreements, suppliers, subcontractors or projects across multiple countries or jurisdictions.
  • Coordinate international projects, considering local supplier, project and venue requirements.
  • Identify jurisdiction-specific issues involving governing law, dispute resolution, liability, insurance, warranties, payment terms and termination rights. Obtain qualified local legal advice when required.
  • Review budgets for currency exposure, exchange rates, taxes, duties, shipping, customs, import/export responsibilities and landed costs.
  • Apply relevant trade terms, including Incoterms where applicable, and clarify transport, customs and risk-transfer responsibilities.
  • Coordinate approvals and delivery across international teams and time zones.
  • Identify local venue rules, exhibitor manuals, permits, safety requirements and technical approvals.
  • Maintain consistent documentation and track handovers between clients, suppliers, fabricators, freight providers, installation teams and venues.
  • Escalate legal, tax, customs, regulatory and technical matters to qualified advisers.

3. Technical Oversight

  • Review technical drawings, specifications, bills of quantities, material schedules and production documents.
  • Verify quotations cover fabrication, graphics, electrical works, lighting, AV, flooring, furniture, logistics, installation and dismantling as applicable.
  • Check technical requirements against client briefs, approved designs, venue rules and exhibitor manuals.
  • Identify missing items, incorrect quantities, unrealistic specifications, inconsistencies and installation risks before production.
  • Assess the feasibility of materials, fabrication methods, production timelines and installation plans.
  • Verify costs for transport, labour, access, equipment, overtime, shipping and dismantling.
  • Coordinate technical clarification between designers, production teams, project managers and suppliers.
  • Ensure structural, electrical, fire-safety and other regulated requirements receive review by qualified professionals.

4. Operations Management and Leadership

  • Supervise the operations manager and review the quality of their work.
  • Review commercial documents, technical submissions, purchase orders and supplier commitments within delegated authority.
  • Challenge assumptions, identify missing information and ensure sound decision-making.
  • Establish standards for accuracy, completeness, risk identification and commercial judgement.
  • Coach operations personnel and improve their capabilities.
  • Address recurring errors through root-cause analysis, training and accountability.
  • Ensure issues are resolved at the appropriate level and delegate routine decisions while overseeing material risks.

5. Procurement and Supplier Management

  • Evaluate suppliers on technical capability, price, quality, reliability, financial stability and contractual performance.
  • Compare quotations on a like-for-like basis, identifying exclusions, assumptions and hidden costs.
  • Negotiate competitive terms while protecting quality and delivery requirements.
  • Maintain approved supplier lists and performance and contract records.
  • Monitor suppliers against specifications, budgets, deadlines and service levels.
  • Develop alternative sourcing strategies and reduce procurement risks.

6. Project Cost Control and Risk Management

  • Review budgets, estimates, bills of quantities, supplier commitments and anticipated margins.
  • Identify scope gaps, unpriced items, duplicated costs and exposure to variations or penalties.
  • Establish commercial checkpoints from quotation and award through production, installation and close-out.
  • Monitor variations, additional works, supplier claims and unapproved expenditure.
  • Report material risks, financial exposure, outstanding approvals and corrective actions.
  • Introduce controls to prevent avoidable technical and commercial errors.

7. Business Continuity and Confidentiality

  • Maintain accurate records of contracts, negotiations, technical documents and commercial decisions.
  • Protect confidential company information, client data, pricing and supplier terms.
  • Establish access permissions and document-control procedures.
  • Document supplier relationships and operational knowledge to support continuity and succession planning.
  • Follow confidentiality, data-protection and conflict-of-interest policies and disclose potential conflicts.

Required Qualifications and Experience

  • A degree or equivalent professional experience in engineering, construction management, quantity surveying, commercial management, procurement or a related discipline.
  • Ideally 7–12 years of relevant experience in exhibitions, stand design and build, event production, temporary structures or related project-based industries.
  • Proven cross-border commercial experience across multiple countries or jurisdictions. Experience involving the UAE, Singapore, the United States and Europe is strongly preferred.
  • Experience reviewing supplier contracts, subcontractor agreements, technical specifications, quotations and bills of quantities.
  • Strong understanding of exhibition fabrication, materials, graphics, lighting, AV, logistics, installation and dismantling.
  • Experience negotiating supplier terms and managing budgets, variations and commercial risks.
  • Proven ability to supervise personnel and independently review their work.
  • Strong written and verbal English.
  • Advanced Microsoft Excel skills and experience with project costing, procurement and document-management systems.
  • Knowledge of Malaysian suppliers and local compliance requirements is an advantage.

Essential Competencies

  • Independent judgement and sound decision-making.
  • Commercial awareness and financial discipline.
  • Strong technical and documentary attention to detail.
  • Risk identification and mitigation across markets.
  • Leadership, accountability and constructive supervision.
  • Negotiation, supplier management and structured problem-solving.
  • Clear cross-cultural communication across time zones.
  • Integrity, discretion and confidentiality.
  • Reliable delivery, cross-border stakeholder management and commitment to long-term business improvement.

Professional Integrity

Candidates should demonstrate accountability, confidentiality and commitment to their responsibilities. Employment history and references may be verified with appropriate consent. Confidentiality, data protection and restrictive covenants must comply with applicable law.

Reporting and Authority

The role reports directly to the CEO / Managing Director, with delegated authority for routine commercial and operational decisions within defined limits. Material contracts, non-standard terms, significant financial commitments and exceptional technical risks must follow the company's approval matrix. The candidate must maintain the quality of work within their supervisory responsibility and escalate matters requiring CEO approval, specialist legal advice or technical certification.

Key Performance Indicators

  • Fewer preventable contractual and commercial errors.
  • Accurate and complete contracts, purchase orders and technical documents.
  • Protection of project margins and reduced unbudgeted costs.
  • Early identification of technical and commercial risks.
  • Improved supplier performance, reliability and negotiated terms.
  • Compliance with approval and document-control procedures.
  • Reduced rework, scope omissions and recurring errors.
  • Improved operations-team performance and decision-making.
  • Consistent cross-border documentation, handovers and compliance escalation.
  • Documented supplier relationships and reduced need for routine CEO intervention.

Candidate Profile

The ideal candidate understands how exhibition projects are designed, costed, fabricated, procured, shipped, installed and dismantled. They combine practical technical knowledge with commercial discipline, contractual awareness, leadership and cross-border experience.

They must independently review documentation, challenge supplier assumptions, identify risks, negotiate effectively and hold teams accountable while respecting local legal, technical, venue and regulatory requirements.

This is not a purely administrative contracts position or a conventional project-management role. It is a senior technical-commercial oversight role designed to protect the business, improve management quality and support sustainable international growth.
