Job Description

Responsibilities

About the role

We are a Singapore-based fund manager looking for a Compliance Executive to support our Head of Compliance in running the firm's ongoing regulatory compliance programme. Your main focus will be implementing and maintaining our Compliance Manual, running quarterly compliance reviews, tracking regulatory obligations, keeping compliance registers current and following remediation through to closure.

You will also give practical support to Fund Operations on fund documentation, investor onboarding and entity governance. This role suits someone with a paralegal or compliance background who is organized, thorough and comfortable following up with colleagues until things are done.

Key responsibilities

A. Compliance monitoring and oversight (about 70%)

Compliance Manual and policies

  •  Support the implementation and upkeep of the Compliance Manual (currently V2.0): roll-out to staff, policy acknowledgements and attestations, version control and periodic updates.
  • Track regulatory changes from MAS and other relevant authorities and flag where the Manual, policies or procedures need updating.
  • Help organise compliance training and keep training and attestation records.

Regulatory obligations tracking

  • Maintain the regulatory obligations register, mapping each requirement to its internal control, owner and evidence.
  • Run the compliance calendar of MAS returns, notifications, representative updates and other filing deadlines, and chase inputs ahead of each deadline.

Quarterly compliance reviews and monitoring

  • Prepare and run the quarterly compliance review programme: checklists, sample testing, evidence collection and draft findings for the Head of Compliance.
  • Carry out routine monitoring, such as personal account dealing pre-clearance and holdings declarations, restricted list checks, marketing material review, and AML/CFT name screening and periodic KYC reviews.

Compliance registers

  • Keep compliance registers complete and current, including conflicts of interest, gifts and entertainment, personal account dealing, breaches and incidents, complaints, outsourcing arrangements and outside business interests.

Remediation and reporting

  • Log findings from quarterly reviews, audits and regulatory inspections; agree owners and deadlines, follow up and track each item to closure.
  • Prepare compliance status reports and management information for the Head of Compliance, management and the board.
  • Support internal and external audits and regulatory inspections with documents and evidence.

B. Fund operations and legal support (about 30%)

  • Support fund closings: subscription documents, side letters, signature packets and closing sets, working with external counsel.
  • Support investor onboarding, including KYC/AML documents and FATCA/CRS self-certifications, with the fund administrator.
  • Maintain entity governance for the manager, GP, fund and SPV entities: resolutions, minutes, ACRA / BizFile + lodgments and registers of registrable controllers.
  • First-pass review of NDAs and service-provider agreements; coordinate audit confirmation letters.
  • Keep investor records, the document management system and transaction trackers organised and audit ready.

Reporting lines and priorities

  • Head of Compliance is the line manager: sets objectives, approves leave and leads the performance review, with input from Fund Operations.
  • Fund Operations / General Counsel requests come through an agreed channel (e.g. a shared tracker) so workload stays visible.
  • When priorities clash, regulatory deadlines, compliance reviews and remediation actions come first. The Head of Compliance decides on any other conflicts.
  • Time split is reviewed quarterly by the Head of Compliance and Fund Operations and adjusted if compliance support is being squeezed.

Requirements

Must have

  • 3–4 years in compliance, legal or paralegal roles at a fund manager, financial institution, or a law firm's financial services or funds team.
  • Working knowledge of the MAS regulatory framework for fund management companies, including AML/CFT requirements.
  • Hands-on experience maintaining compliance registers, monitoring checklists or regulatory calendars.
  • Familiarity with fund documents (subscription documents, side letters) and Singapore corporate housekeeping.
  • Diploma or degree in law, finance, business or a related field, or a recognised paralegal or compliance qualification.
  • Strong Excel and Word skills: comfortable building trackers and preparing clear status reports.
  • Excellent attention to detail, discretion with confidential information, and the confidence to follow up with senior colleagues.

Good to have

  • Experience supporting quarterly compliance testing, internal audit or a MAS inspection.
  • A compliance certification (e.g. ICA qualifications or IBF-accredited compliance programmes).
  • Experience with VCCs, Singapore or Cayman limited partnerships, or FATCA/CRS reporting.
  • Experience with compliance monitoring, personal trading or GRC software.

What we offer

  • Competitive base salary.
  • 15 days annual leave.
  • Broad exposure to a fund manager's compliance programme, working directly with the Head of
