Position Summary:

As the administrator of Talent Pursuit & Conversion team, you keep the hiring process moving from final approval to signed contract. This includes preparing offer letters for our regional teams.


Key Responsibilities:

  • Prepare, check and issue offer letters and employment contracts for Malaysia and regional markets such as Australia.
  • Track offer acceptance and manage revisions.
  • Stamp signed Malaysian offer letters and contracts through LHDN Stamps on time, and keep a stamping register.
  • Administer the Employee Referral Programme: log referrals, check eligibility, track referred hires and process payouts with Payroll.
  • Collect pre-employment documents and submit complete files to Payroll.
  • Maintain the team's offer and hiring trackers, candidate files and SOPs.
  • Coordinate background checks using third party background check provider, and other administrative duties related to recruitment.


Candidate Requirements:

  • Diploma or degree in Human Resource Management, Business Administration or a related field.
  • 2–4 years of HR or recruitment administration experience. Fresh graduates with strong interest in HR and recruitment are also encouraged to apply.
  • Experience with offer letters and stamping via LHDN STAMPS is an advantage.
  • Working knowledge of the Employment Act 1955 and EPF, SOCSO and EIS.
  • Strong attention to detail and the discretion to handle salary and personal data.
  • Proficient in Microsoft Excel, Word and Outlook.
  • Good command of English.
