Job Description

Responsibilities

ACESTES PTE LTD

Acestes Pte Ltd is a Singapore company operating across security, investigations, training, consultancy and technology solutions. We have ambitious plans to expand our business and workforce over the next two years.

We are looking for a driven and capable HR Executive to join our team and help build a stronger HR function to support this growth.

This opportunity is suitable for a fresh graduate who wants to develop beyond routine HR administration. You will gain exposure to recruitment, employment compliance, manpower planning, employee relations and HR operations, with opportunities to take on greater responsibility as you develop.

We do not expect you to know everything from day one. However, we expect you to be proactive, willing to learn, able to research independently and committed to finding accurate answers before making recommendations.

1. Recruitment and Workforce Planning

Manage recruitment activities, including job advertisements, candidate sourcing, screening, interviews and job offers.

Coordinate onboarding, employment documentation and deployment arrangements.

Work with management and operations teams to understand manpower requirements and recruitment priorities.

2. HR Operations and Employee Administration

Maintain accurate and up-to-date employee records, personnel files and HR documentation.

Manage employee onboarding, transfers, confirmation, changes in employment terms and offboarding.

Administer leave, attendance, absenteeism and other employee-related records.

Coordinate payroll inputs, salary adjustments, allowances, deductions and CPF-related matters with the relevant personnel.

Prepare employment contracts, confirmation letters, warning letters and other HR correspondence.

3. Employment Law and Regulatory Compliance

Develop a working knowledge of Singapore employment legislation and applicable regulatory requirements.

Research and assist with matters relating to the Employment Act, CPF, leave entitlements, salary payments, working hours, termination and other employment obligations.

Support work pass administration and foreign manpower requirements, where applicable.

Assist with compliance relating to the security industry's Progressive Wage Model, relevant training requirements and employment standards.

Monitor changes to relevant laws, regulations and official guidelines, and highlight their implications to management.

Assist with internal checks, documentation reviews and preparation of information for regulatory enquiries or audits.

Verify information against official sources and seek clarification when necessary rather than making assumptions.

Our Ground-Up Culture

At Acestes, we believe that everyone should understand the business they support.

Employees will be expected to undergo basic security training and work towards obtaining the relevant Security Officer certification, subject to applicable training and licensing requirements.

This provides our HR team with first-hand exposure to the security industry, including manpower deployment, operational requirements and the challenges faced by our ground personnel.

We believe that effective HR professionals should understand not only employment policies, but also the people and operations those policies affect.

Requirements

Preferably minimum Diploma in Human Resources, Business, Psychology or a related discipline.

Fresh graduates are strongly encouraged to apply.

Candidates with relevant working experience are welcome.

Strong interest in Singapore employment legislation, HR practices and manpower management.

Good written and verbal communication skills.

Strong organisational skills and attention to detail.

Ability to research independently, evaluate information and communicate findings clearly.

Willingness to learn, take initiative and work through unfamiliar problems.

Proficiency in Microsoft Office, particularly Excel and Word.

Ability to handle confidential employee information with discretion.

Able to work in fast pace environment

Prior practical HR experience is not essential. A strong foundation, sound judgement, learning ability and the right attitude are important.

What We Are Looking For

We are looking for someone who wants to understand why things are done, not merely follow existing procedures.

You should be comfortable asking questions, identifying problems, researching possible solutions and bringing practical recommendations to management.

As the company grows, you will be expected to progressively move beyond administrative execution and develop the ability to handle HR matters with greater independence.
