Job Summary


The Procurement Manager is responsible for managing the company’s purchasing activities, supplier and principal relationships, stock planning, and procurement strategy across the company’s portfolio of wines, spirits, beer, and other products.


The role is responsible for ensuring the company maintains the right level of inventory, secures competitive purchasing terms, manages supplier commitments, and coordinates closely with Finance, Sales, Operations, and Management to support business growth while controlling stock exposure and procurement costs.


Key Responsibilities


Procurement & Purchasing


  • Manage the end-to-end purchasing process for local and imported products.
  • Plan and place purchase orders based on sales forecasts, stock levels, lead times, and business requirements.
  • Ensure sufficient stock availability while minimising overstock and unnecessary inventory holding.
  • Review purchase quantities, order timing, and supplier lead times regularly.
  • Monitor outstanding purchase orders and ensure timely delivery of goods.
  • Maintain accurate purchasing records and supporting documentation.


Principal & Supplier Management


  • Maintain strong relationships with brand principals, suppliers, and business partners.
  • Serve as a key point of contact for procurement, stock, pricing, and commercial matters.
  • Discuss and negotiate purchasing prices, payment terms, MOQ, rebates, discounts, and other commercial conditions.
  • Review supplier price changes and communicate their impact internally.
  • Follow up with principals on stock availability, production schedules, shipment timelines, and product allocations.
  • Support Management in commercial discussions and annual negotiations with principals.


Inventory Planning & Stock Management


  • Monitor inventory levels across brands and SKUs.
  • Work closely with Sales to understand demand, upcoming promotions, and customer requirements.
  • Prepare purchasing forecasts based on historical sales, pipeline, seasonality, and business plans.
  • Identify slow-moving, ageing, excess, and at-risk inventory.
  • Work with Sales and Marketing to develop action plans for slow-moving stock.
  • Ensure appropriate safety stock levels are maintained for key products.
  • Minimise stock-outs without creating unnecessary overstock.


Cost & Commercial Management


  • Work closely with the Costing and Finance teams to review purchase prices, landed costs, and gross profit impact.
  • Monitor supplier price changes, exchange-rate movements, freight costs, and other procurement-related expenses.
  • Assist in evaluating the commercial viability of new products and suppliers.
  • Ensure agreed supplier rebates, discounts, credits, and incentives are properly documented and followed up.
  • Support pricing and margin discussions where procurement cost has a significant impact.


Import & Shipment Coordination


  • Coordinate with suppliers, freight forwarders, Operations, and relevant internal teams on incoming shipments.
  • Monitor shipment schedules and ensure required documentation is complete.
  • Follow up on delays, shortages, damages, or discrepancies relating to incoming goods.
  • Support compliance with import requirements, customs documentation, permits, and applicable regulatory requirements.
  • Maintain visibility of upcoming shipments and communicate expected arrival dates to relevant departments.


Supplier Contracts & Documentation


  • Maintain supplier agreements, price lists, commercial terms, and procurement documentation.
  • Review supplier contracts and highlight key obligations, pricing terms, rebates, and commitments to Management.
  • Ensure purchasing activities are carried out in accordance with agreed supplier and principal terms.
  • Monitor contract renewal dates and support renegotiation when required.


Reporting & Analysis


  • Prepare regular procurement and inventory reports for Management.
  • Monitor purchase value, stock holding, stock ageing, stock cover, supplier performance, and inventory movement.
  • Highlight potential risks including stock shortages, overstock, supplier delays, and cost increases.
  • Provide recommendations to Management based on procurement and inventory trends.


Cross-Department Coordination


  • Work closely with Sales on forecasts, customer requirements, and product demand.
  • Work closely with Finance on supplier payments, costing, credit terms, and commercial agreements.
  • Coordinate with Warehouse and Operations on stock receiving, inventory movement, and stock discrepancies.
  • Work with Marketing and Trade Marketing on launches, campaigns, events, and promotional stock requirements.


Requirements


  • Diploma or Degree in Supply Chain Management, Procurement, Business Administration, Finance, Logistics, or a related field.
  • Minimum 5 years of relevant procurement, purchasing, supply chain, or inventory management experience.
  • Previous experience in a supervisory or managerial capacity is preferred.
  • Strong understanding of purchasing, stock planning, supplier management, and inventory control.
  • Good commercial and negotiation skills.
  • Strong analytical and numerical ability.
  • Comfortable working with sales forecasts, inventory reports, and purchasing data.
  • Good Microsoft Excel skills.
  • Experience with ERP, inventory, or purchasing systems is preferred.
  • Strong communication and stakeholder-management skills.
  • Able to work independently and make sound commercial decisions.


Preferred Experience


Experience within FMCG, wine & spirits, beverage distribution, food & beverage, retail, trading, import/export, or consumer goods would be highly advantageous.


Experience dealing with international principals, imported products, freight, customs, and long supplier lead times would be particularly valuable.

This role is expected to take ownership of procurement planning and ensure the company has the right products available at the right time, at the right cost.
