Job Description

Requirements

* Diploma or Degree in Logistics, Supply Chain Management, International Business or a related field.

* Minimum 5 years of experience in freight forwarding, with strong exposure to both Sea Freight and Air Freight.

* Minimum 2 years of experience in a supervisory or managerial position.

* Strong knowledge of import and export procedures, shipping documentation, bookings, customs coordination, haulage and final delivery.

* Familiar with Bills of Lading, Air Waybills, Shipping Instructions, Delivery Orders, Incoterms and freight-related charges.

* Able to lead Documentation, Customer Service and Operations teams.

* Strong problem-solving, planning and communication skills.

* Able to work under pressure and manage multiple urgent shipments.

* Proficient in English and Bahasa Malaysia, Chinese proficiency is an advantage.

* Experience using freight forwarding, ERP or shipment tracking systems is an advantage.

Responsibilities

1. Sea & Air Freight Operations

* Manage end-to-end Sea Freight and Air Freight import and export operations.

* Coordinate vessel and flight schedules, space availability, cut-off times and cargo movements.

* Arrange bookings with shipping lines, airlines, co-loaders and other service providers.

* Ensure shipments are properly planned and completed according to customer requirements.

* Monitor all shipments from booking until customs clearance and final delivery.

* Handle shipment delays, rolled bookings, missing documents, customs issues, damaged cargo and other operational problems.

2. Documentation Management

* Supervise the preparation and checking of all shipping documents, including Bill of Lading, Air Waybill, Shipping Instructions, Commercial Invoice, Packing List, Delivery Order and related permits.

* Ensure all documents are complete, accurate and submitted before the required deadlines.

* Submit the necessary documents and information to appointed customs agents for declaration and clearance.

* Verify shipment details such as shipper, consignee, cargo description, quantity, HS Code information and Incoterms.

* Maintain proper filing and shipment records for operational, financial and audit purposes.

* Minimise documentation errors, amendments, penalties and additional charges.

3. Customer Service Management

* Lead and supervise the Customer Service team.

* Ensure customers receive timely shipment updates and professional responses.

* Ensure customer enquiries, complaints and shipment issues are handled promptly.

* Maintain clear communication between customers, Documentation, Operations, Sales and external service providers.

* Monitor customer service response time and service quality.

* Escalate major shipment issues or customer complaints to management when necessary.

4. Haulage and Delivery Coordination

* Arrange container haulage, trucking, cargo collection and final delivery.

* Coordinate closely with transporters, warehouses, ports, terminals and customers.

* Monitor container collection, stuffing, unstuffing, delivery and empty container return.

* Control detention, demurrage, storage and other avoidable operational charges.

* Ensure transport arrangements are made according to vessel or flight cut-off times.

* Follow up on proof of delivery and shipment completion.

5. Team Management

* Manage the Documentation, Customer Service and Freight Operations teams.

* Assign daily responsibilities and monitor the team’s workload and performance.

* Establish clear SOPs, checklists and escalation procedures.

* Conduct training and coaching to improve staff knowledge and accuracy.

* Review operational mistakes and implement corrective and preventive actions.

* Ensure sufficient manpower and proper coverage during staff leave or peak periods.

6. Vendor and Cost Control

* Coordinate and maintain good working relationships with shipping lines, airlines, co-loaders, customs agents, hauliers, warehouses and other vendors.

* Check operational charges and ensure vendor invoices are accurate.

* Obtain competitive rates and service options when required.

* Monitor additional charges and investigate avoidable costs.

* Work with Finance to ensure all job costs, vendor charges and supporting documents are properly recorded.

* Ensure each shipment is closed and ready for billing within the required timeline.

7. Compliance and Reporting

* Ensure all shipments comply with company SOPs, customer requirements and relevant regulatory requirements.

* Maintain proper records for internal checks, customer enquiries and audits.

* Prepare daily, weekly and monthly operational reports.

* Report shipment volume, pending shipments, documentation errors, customer complaints, delays and additional costs.

* Identify operational weaknesses and recommend process improvements.

* Support the implementation and improvement of ERP, freight management and shipment tracking systems.
