IT-cum-Operations Admin Executive
We are looking for a resourceful, hands-on IT-cum-Operations Admin Executive to keep our technology and office running smoothly while helping us work smarter. Beyond managing IT hardware, equipment, and day-to-day office operations, you will play a key role in identifying repetitive, manual workflows across the company and using existing AI and automation tools to make them faster, more accurate, and more efficient.
This role suits someone who enjoys solving practical problems, is comfortable with technology, and is curious about how AI can improve the way a team works.
Key responsibilities include:
IT Hardware, Equipment & Support
- Manage the full lifecycle of IT hardware (laptops, desktops, monitors, printers, phones, peripherals), including procurement, setup, deployment, maintenance, repair, and disposal.
- Maintain an accurate, up-to-date IT asset register, tracking device allocation, condition, warranty, and replacement schedules.
- Provide on-site support for hardware and equipment needs, such as device replacements, printer issues, and meeting-room and AV setup.
- Coordinate repairs, warranty claims, and replacements with hardware vendors.
- Plan hardware refresh cycles and recommend purchases that balance cost, reliability, and staff needs.
Office Administration & Operations
- Assists in office operations, including facilities, supplies, equipment maintenance, and workspace arrangements.
- Manage relationships with office vendors and service providers.
- Handle procurement of office and IT purchases, including obtaining quotes, raising purchase requests, and liaising with Finance on invoices and payments.
- Maintain office records, contracts, and renewal schedules to ensure nothing lapses.
- Develop and maintain standard operating procedures (SOPs) for office admin processes.
- Take on ad hoc administrative duties as assigned.
Admin Workflow Automation
- Review office admin workflows (e.g. purchase requests, asset tracking, supply ordering, vendor renewals, room bookings) to identify manual, repetitive, or error-prone tasks.
- Leverage existing AI and automation tools (e.g. Claude, Microsoft Copilot, Power Automate, or similar) to streamline these workflows through templates, automated forms, reminders, approval routing, and simple reports.
- Document new workflows clearly and guide colleagues in adopting them.
- Track improvements such as time saved and error reduction, and share outcomes with management.
Requirements
Qualifications
- Diploma or Degree in Information Technology, Business Administration, or a related field.
- Minimum 2–3 years of experience in office administration, IT hardware support, or a combined admin/IT role.
- Experience using AI or automation tools to improve admin processes is an advantage.
Skills
- Good working knowledge of computer hardware, peripherals, and basic troubleshooting.
- Proficiency in Microsoft 365, particularly Excel, for tracking assets, inventory, and spending.
- Familiarity with, or strong interest in, AI assistants and automation tools.
- Basic understanding of procurement and vendor management.
