In this pivotal and exciting role, reporting to the APAC Company Secretary, you'll take a lead role in ensuring the smooth running of our APAC Board and Committee meetings.

This is an important role in the APAC team with an expectation that you will provide a best in class board support service in a fast paced environment.

Key Responsibilities of the Role:

• To manage the logistical and administrative arrangements for the APAC board and committee meetings and other board/committee events
• To assist with the provision of support for non-executive directors, including arrangements for onboarding and training
• To prepare agendas, skeleton minute production, maintenance of action logs, and the review and circulation of board papers for our APAC subsidiaries
• To assist with the team’s input to the financial audit and the annual report and accounts for our APAC entities
• To manage the organisation of the annual board/committee meetings calendar for APAC
• To schedule the board and committee meetings
• Improving the team’s processes and procedures
• Management of our APAC entities on Diligent
• Being the owner of Diligent Boards portal for APAC
• Liaise with contacts and external service providers for Company Secretariat

What we are looking for:

• Experience of working in a fast paced company secretary function
• Experience in the coordination and administering of corporate and senior level board/committee meetings
• Proven ability and substantial experience of prioritising and organising a large, complex and busy workload
• Strong communication skills, written and verbal
• Ability to influence others
• Proficient in co sec software (Board portal and entity management) and google docs
• Experience of working with senior stakeholders
• Pragmatic, flexible and organised with excellent attention to detail

Preferred Qualifications:

• Part CGI qualified or above is desired but not essential
