Singlapa is a Singapore design house celebrating heritage, culture and place through original art and thoughtful storytelling. As we grow across our own retail spaces, airport retail, e-commerce, pop-ups, events and retail partners, we are looking for a highly organised and detail-oriented Inventory & Stock Control Executive to take ownership of stock accuracy and inventory processes.

This is a hands-on operational role for someone who enjoys working with numbers, systems and physical stock, and who gets satisfaction from finding out why something does not add up - then fixing the process so it does not happen again.

Job Overview

The Inventory & Stock Control Executive is responsible for maintaining accurate inventory records across Singlapa's retail and distribution network, including our own stores, Changi Airport operations, central storage, consignment partners, e-commerce, pop-ups and events.

You will manage stock counts, inventory reconciliation, stock transfers, discrepancy investigations, replenishment coordination and inventory reporting, while helping Singlapa build stronger and more scalable stock-control processes as the business grows.

Key ResponsibilitiesInventory Control & Accuracy

· Maintain accurate inventory records across all Singlapa stock locations.

· Monitor stock movements including incoming goods, sales, transfers, returns, damaged items, samples, gifting and write-offs.

· Ensure physical inventory is accurately reflected in the inventory and POS systems.

· Plan and conduct regular cycle counts and coordinate full stock takes.

· Reconcile physical counts against system records and investigate discrepancies.

· Identify root causes of recurring stock discrepancies and recommend corrective actions.

· Maintain clear documentation and audit trails for stock adjustments.

Retail, Changi & Consignment Inventory

· Monitor inventory across Singlapa's own retail locations, Changi Airport operations and external retail partners.

· Track stock sent to and returned from consignment partners and reconcile stock against sales reports and physical inventory.

· Coordinate periodic stock checks with retail partners and internal teams.

· Ensure stock transfers between locations are properly recorded, received and completed.

· Support physical stock counts at stores, storage locations and partner locations when required.

· Monitor stock levels and flag potential shortages, overstock and slow-moving inventory.

Pop-Ups, Events & Other Stock Movements

· Prepare and record inventory allocated to pop-ups, fairs, workshops and events.

· Ensure outgoing and returned stock is accurately counted and reconciled.

· Track products used for workshops, corporate gifting, marketing, samples, displays and other non-sale purposes.

· Reconcile event sales and stock movements against returned inventory.

Replenishment & Stock Planning Support

· Monitor stock levels across locations and identify replenishment requirements.

· Coordinate stock transfers and replenishment with Operations, Retail and Logistics.

· Highlight fast-moving products, low-stock items and potential stock-outs.

· Provide accurate inventory information to support purchasing, production and allocation decisions.

Inventory Systems & Data

· Maintain accurate product and inventory information within Singlapa's POS and inventory-management systems.

· Ensure SKUs, product descriptions, stock locations and quantities are correctly maintained.

· Review inventory transactions and identify incorrect, incomplete or unusual entries.

· Help establish clear processes for receiving, transferring, returning and adjusting stock.

· Support improvements to Singlapa's inventory-management systems and processes.

· Provide basic system and stock-process training to retail and operations team members.

Reporting & Analysis

· Prepare a monthly inventory dashboard covering stock on hand by location, stock accuracy, discrepancies and adjustments, fast- and slow-moving products, low-stock and out-of-stock items, stock transfers, consignment inventory, damaged/write-off stock and stock ageing where relevant.

· Maintain discrepancy investigation records and supporting documentation.

· Escalate material or recurring inventory issues to Management with clear findings and recommended actions.

Process Improvement

· Identify weaknesses and control gaps in existing stock-handling procedures.

· Develop and maintain practical inventory SOPs, checklists and stock-counting procedures.

· Improve stock-taking, reconciliation and transfer processes to reduce manual errors.

· Help establish scalable inventory processes for new stores, retail partners, events and future markets.

· Work collaboratively with teams to build strong stock discipline without creating unnecessary complexity.

What We're Looking For

· Diploma or equivalent qualification in Logistics, Supply Chain, Business Administration, Retail Operations or a related field.

· Relevant experience in inventory control, retail operations, warehouse operations or stock management.

· Good understanding of stock movements, cycle counting, stock-taking and reconciliation.

· Strong Microsoft Excel and/or Google Sheets skills, including formulas, PivotTables and data reconciliation.

· Comfortable working with POS, inventory-management and retail systems, with the ability to quickly learn new platforms.

· Highly detail-oriented with a strong focus on stock and data accuracy.

· Strong analytical and problem-solving skills, with the ability to independently investigate discrepancies and identify root causes.

· Organised and comfortable managing inventory across multiple locations simultaneously.

· Good communication and stakeholder-management skills.

· Comfortable coordinating with retail staff, logistics providers and external retail partners.

· Willing to travel between Singlapa's retail, storage, partner and event locations in Singapore when required.

· Experience in a retail, lifestyle, fashion, homeware, gifting or consumer-products business is an advantage.

· Experience supporting process-improvement or inventory-system projects is an advantage.

The Person We're Looking For

This role will suit someone who naturally notices when something does not add up. If the system says there are 20 pieces but only 17 are physically present, you want to understand what happened to the other three - not simply adjust the number.

You are systematic, dependable and comfortable being hands-on. You can work independently, follow through on details and communicate clearly with different teams. At the same time, you understand that Singlapa is a growing entrepreneurial business, so processes will continue to evolve.
