JOB SUMMARY
The Front Office Jr Executive is responsible for supervising and coordinating the daily operations of the Front Office to ensure efficient, professional and courteous service to Club Members and guests. The position provides guidance, support and training to Front Office staff, monitors service standards and ensures that all Front Office procedures are properly followed.
The Front Office Jr Executive acts as a key point of contact for Members and guests, handling enquiries, requests and service-related matters while maintaining a positive and welcoming Club environment. The position also supports coordination with relevant departments to ensure smooth Club operations and a satisfactory experience for Members and guests.
DUTIES AND RESPONSIBILITIES
FRONT OFFICE OPERATIONS
- Supervise and coordinate the daily operations of the Front Office to ensure smooth and efficient service.
- Prepare and coordinate the Front Office staff duty roster and shift arrangements.
- Monitor staff attendance, punctuality, grooming and compliance with Club procedures.
- Ensure proper check-in and check-out procedures are carried out for Members and guests.
- Attend to Members’ and guests’ enquiries, requests and complaints in a courteous and professional manner.
- Handle special requests and follow up on Member and guest concerns to ensure appropriate resolution.
- Maintain a welcoming, clean, tidy and well-organised Front Office at all times.
- Ensure adequate availability of Front Office supplies, forms and other necessary materials.
- Monitor daily Front Office transactions, records and relevant billing instructions to ensure accuracy.
- Check and verify daily reports, records and handover information before submission.
- Maintain proper records of Member and guest-related matters, including requests, complaints and follow-up actions where required.
- Liaise with Housekeeping, Maintenance, Security, F&B and other relevant departments to ensure smooth coordination of Member and guest requirements.
- Provide assistance and technical guidance to Front Office and related staff when required.
- Monitor the condition and cleanliness of areas under Front Office responsibility and report any maintenance or operational issues to the relevant department.
- Ensure Club procedures, service standards and management instructions are consistently followed.
- Maintain a good working knowledge of the Club Constitution, Bye-Laws, rules and regulations, and guide Front Office staff in handling Member-related enquiries and matters in accordance with the Club’s established requirements.
TEAM SUPERVISION & DEVELOPMENT
- Guide, coach and supervise Front Office team members in carrying out their daily duties and responsibilities.
- Provide on-the-job training and guidance to new and junior staff.
- Monitor staff performance and provide appropriate feedback and support for improvement.
- Motivate team members and maintain a positive and professional working environment.
- Address day-to-day staff issues and escalate matters to Management where necessary.
- Ensure proper handover between shifts to maintain continuity of operations.
- Monitor staff grooming, conduct and service standards in accordance with Club requirements.
MEMBER & GUEST SERVICE
- Maintain a high standard of hospitality and service towards Club Members and guests.
- Build positive working relationships with Members, guests and Club staff.
- Handle Member and guest feedback professionally and ensure matters are followed up appropriately.
- Assist Members and guests with information relating to Club facilities, services, events, activities and general Club matters.
- Support Club events, functions and special activities where Front Office assistance is required.
- Ensure Member and guest satisfaction through prompt, courteous and effective service.
REPORTING & ADMINISTRATION
- Prepare and submit weekly or periodic Front Office reports as required by Management.
- Maintain accurate records and documentation relating to Front Office operations.
- Attend departmental, management or other meetings as required.
- Communicate relevant operational updates and instructions to Front Office staff.
- Ensure proper implementation and follow-up of Management instructions.
GENERAL
- Maintain confidentiality of Member, guest and Club information.
- Ensure compliance with Club rules, policies, procedures and safety requirements.
- Maintain professional appearance, grooming and conduct at all times.
- Assist other departments when required to support smooth Club operations.
- Perform any other duties and responsibilities as may be assigned by Management from time to time.
Pay: Up to RM2,500.00 per month
