As a Service Order Management Executive, you will support the end-to-end processing and administration of service and spare-parts orders for APAC and AMER. The role is responsible for ensuring orders are processed accurately and on time, monitoring open orders through fulfilment, coordinating with customers and internal stakeholders, and supporting billing, logistics, and after-sales activities. This position plays an important role in maintaining a smooth customer experience while ensuring compliance with established processes and service order management requirements.

What Are Your Key Responsibilities

  • Service & Spare Parts Order Management: Prepare, process, and monitor quotations and orders, including QSR/CR, RUP, SR (SCS) repair, spare-parts, and SMS orders from receipt to closure. You will tag spreader serial numbers, support spare-parts warranty claims via JIRA, process inter-company recharges/credit/debit notes, and maintain accurate order and customer information across systems.
  • Billing & Financial Administration: Support SMS order processing, RUP planner reports, and monthly billing. Review vendor invoices in Basware, proactively follow up on discrepancies, and complete monthly timesheet submissions accurately and on time.
  • Logistics & Delivery Coordination: Coordinate shipments and deliveries with customers, logistics partners, and internal teams. Monitor shipment statuses, ensure delivery documentation is provided, and resolve issues affecting order fulfilment or customer commitments.
  • Customer & Stakeholder Support: Communicate promptly with customers and internal stakeholders (Sales, Service, Inventory, Logistics, Warehouse, Finance, and regional teams) to respond to enquiries, follow up on issues, and ensure smooth order fulfilment.
  • Systems, Process & Documentation: Execute transactions accurately using systems such as SAP, JIRA, Basware, Bromma Backyard, and Salesforce. Maintain SOPs and process documentation, continuously identifying opportunities to reduce errors and improve efficiency.
  • Team & Performance Support: Handle daily operational and ad-hoc tasks, meet agreed individual and departmental KPIs, and support process and system improvement initiatives driven by the Team Lead.

What You Bring To The Role

  • Qualifications: Diploma or University Degree in Business Administration, Supply Chain Management, Logistics, or a related discipline.
  • Professional Experience: 2-5 years of experience in order management, customer service, sales administration, supply chain, logistics, or a related operational environment is preferred. Experience working with multiple stakeholders and handling several orders simultaneously is a distinct advantage.
  • Technical Knowledge: Proficient in Microsoft Office and G Suite / Google Workspace. Hands-on knowledge of SAP, JIRA, Basware, Bromma Backyard, and Salesforce is advantageous. A solid understanding of Incoterms, shipping processes, credit terms, invoicing, and basic order-to-cash processes is required.
  • Core Competencies: A detail-oriented, positive, and proactive problem-solver with strong organisational and time-management skills to prioritise tasks under pressure. You possess a customer-focused mindset, strong written and verbal communication skills, and act as a collaborative team player adaptable to changing priorities.
