Job Description

Responsibilities

We are looking for a resourceful and organised Admin & Corporate Operations Executive to support our daily office and business operations.


You will coordinate office administration, company assets, procurement, billing documentation, employee administrative support and business travel. Working closely with management, Finance, HR and IT, you will help keep our operations efficient, accurate and well documented.


Key Responsibilities


1. Office Administration & Facilities

  • Manage daily office administration and maintain an organised, presentable and functional workplace.
  • Monitor and replenish office supplies, stationery, pantry items and printing materials.
  • Coordinate cleaning, maintenance, repairs, utilities, internet services and office access.
  • Handle correspondence, deliveries, couriers and company documents.
  • Ensure meeting rooms and shared facilities are ready for employees, clients and visitors.


2. Employee Equipment & Company Assets

  • Maintain an accurate register of company equipment, including laptops, monitors, mobile devices, access cards and software licences.
  • Track asset details, assigned users, purchase dates, warranties, condition and status.
  • Coordinate equipment issuance and maintain signed handover and return records.
  • Liaise with IT personnel or service providers on equipment setup, account access, repairs and replacements.
  • Arrange the return and inspection of assets when employees or interns leave.
  • Conduct periodic asset checks and report missing or damaged equipment promptly.


3. Vendor Management & Procurement

  • Coordinate with approved vendors and service providers for office, technology, maintenance, printing and other business requirements.
  • Obtain quotations, compare prices and submit recommendations for management approval.
  • Arrange approved purchases, deliveries and service appointments.
  • Maintain vendor details, agreements, payment terms and renewal schedules.
  • Track subscriptions and contract renewals, and follow up on service quality and delivery timelines.


4. Billing & Finance Administration

  • Prepare and organise approved quotations, invoices, receipts and payment documentation.
  • Coordinate client billing according to approved project details, purchase orders and payment schedules.
  • Maintain billing and payment trackers, including outstanding amounts.
  • Follow up with clients on routine billing matters and supporting documents.
  • Process staff claims, reimbursements, petty cash and company expenses with the required documentation and approvals.
  • Submit complete and organised records to Finance or the external accountant within the required timelines.


5. Travel & Business Logistics

  • Arrange approved business travel, including flights, accommodation and ground transportation.
  • Prepare itineraries, booking confirmations and travel documents.
  • Assist with visa applications and travel insurance when required.
  • Compare travel options and costs for approval, and coordinate booking changes or cancellations.
  • Support meeting logistics, client visits, internal activities and company events.


6. Corporate Documentation & Coordination

  • Maintain organised physical and digital records of contracts, NDAs, purchase orders, licences, policies and project documents.
  • Monitor document expiry dates, warranties, renewals and administrative deadlines.
  • Prepare letters, forms, reports, presentations and internal communications.
  • Coordinate with employees, clients, vendors, service providers and building management on operational matters.
  • Handle employee, financial and company information professionally and confidentially.
Requirements
  • Diploma or Bachelor’s Degree in Business Administration, Management, Human Resources, Finance or a related field.
  • 1–2 years of relevant experience in administration, office operations or a coordination role. Fresh graduates with relevant experience may be considered.
  • Strong organisational, documentation and follow-up skills.
  • Proficiency in Microsoft Office and Google Workspace, particularly spreadsheets, document preparation and shared file management.
  • Good written and verbal communication skills in English and Bahasa Malaysia.
  • Basic understanding of quotations, invoices, expenses and procurement documentation.
  • Ability to prioritise tasks, manage deadlines and work independently with minimal supervision.
  • Willingness to work full-time at our Cyberjaya office.
