Key Responsibilities
1. Shared Services Operations
- Manage and execute daily shared services activities to ensure accurate, timely, and efficient service delivery.
- Coordinate cross-functional processes across Finance, HR, Administration, Procurement, or other relevant business functions.
- Develop, review, and maintain standard operating procedures (SOPs) and operational documentation.
- Ensure operational activities comply with internal policies and relevant regulatory requirements.
2. Process Improvement & Optimization
- Identify process gaps and implement improvements to enhance efficiency and productivity.
- Standardize workflows and streamline operational processes across departments or business units.
- Support automation initiatives and digital transformation projects to improve service delivery.
- Monitor operational costs and identify opportunities for cost optimization.
3. Stakeholder Coordination
- Work closely with internal departments and regional business units to ensure smooth operational execution.
- Coordinate cross-functional projects and follow up on deliverables and timelines.
- Resolve operational issues and ensure timely responses to stakeholder requests.
- Maintain effective communication with relevant stakeholders to support business needs.
4. Performance Monitoring & Reporting
- Track operational KPIs, SLAs, service quality, and productivity metrics.
- Prepare regular operational reports and provide data-driven insights for decision-making.
- Identify performance gaps and recommend corrective actions.
- Maintain accurate records and documentation for operational tracking and reporting.
5. Compliance & Risk Control
- Ensure shared services processes comply with company policies, procedures, and applicable regulations.
- Maintain proper documentation, internal controls, and audit trails.
- Identify potential operational risks and recommend mitigation measures.
- Support internal and external audits when required.
Requirements
- Bachelor's degree in Business Administration, Finance, Human Resources, Operations Management, or a related field.
- Minimum 5–8 years of relevant experience in shared services, business operations, or process management.
- Hands-on experience in managing or executing shared services processes.
- Strong knowledge of process optimization, SOP development, KPI tracking, and SLA management.
- Strong analytical, problem-solving, and project coordination skills.
- Excellent communication and stakeholder management abilities.
- Highly organized, detail-oriented, and capable of independently managing multiple projects.
- Experience supporting regional or multi-country operations is an advantage.
