Job Description

Responsibilities

We are looking for an organised, detail-oriented, and responsible HRD Corp Training Assistant to support our corporate training operations in Malaysia. This role focuses on HRD Corp documentation, training coordination, grant and claim administration, and general operational support.

The ideal candidate should be familiar with HRD Corp procedures and documentation, particularly e-TRiS, grant applications, claim submissions, and training attendance records.

Location: Malaysia (Work from Home initially, until our Kuala Lumpur office is fully established. Thereafter, the role will be based at our Kuala Lumpur office.)

Key Responsibilities

  • Prepare, review, and manage HRD Corp documentation for training grant applications and claim submissions.
  • Prepare and manage required training documents, including JD/14 forms, T3 attendance forms, invoices, training schedules, course materials, and supporting documents.
  • Assist with HRD Corp e-TRiS processes, including documentation preparation, data entry, and grant and claim submissions.
  • Coordinate training arrangements, including schedules, trainers, venues, participants, and internal teams.
  • Follow up with corporate clients to obtain the necessary documents, signatures, company stamps, and training information.
  • Maintain accurate training records, participant details, attendance sheets, and document filing systems.
  • Check training documentation for completeness and accuracy before, during, and after each training programme.
  • Monitor submission deadlines and follow up on outstanding documents to ensure timely processing.
  • Provide administrative and operational support to the Training Manager and Sales Team.
  • Perform other training-related administrative duties as required.

Requirements

  • Previous experience in training administration, HRD Corp documentation, or training grant and claim processing is highly preferred.
  • Familiarity with HRD Corp e-TRiS, JD/14 forms, T3 attendance forms, and HRD Corp Claimable Courses will be a strong advantage.
  • Knowledge of HRD Corp grant application and claim submission procedures is an added advantage.
  • Strong organisational skills, attention to detail, and the ability to manage multiple tasks and deadlines.
  • Good communication and follow-up skills when dealing with corporate clients, trainers, and internal teams.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • Able to work independently, take initiative, and maintain accurate records.
  • Responsible, proactive, and willing to learn.

What We're Looking For

We are looking for someone who is dependable, meticulous, and comfortable handling documentation-heavy tasks. Candidates with hands-on HRD Corp administrative experience who can help ensure smooth training operations and accurate, timely documentation are encouraged to apply.

Pay: RM3,000.00 - RM3,500.00 per month
