The Leasing & Licensing Executive manages outlet tenancy matters and coordinates business licence applications and renewals across the company’s F&B and retail operations. The role supports new outlet openings, maintains accurate records, and works closely with landlords, local authorities, and internal teams to keep tenancy and licensing matters on track.
Key Responsibilities:
1. Leasing & Tenancy Management
- Coordinate tenancy arrangements for new and existing outlets, including applications, renewals, extensions, and termination requirements.
- Support negotiations on rental rates, deposits, service charges, rental-free periods, and other commercial terms.
- Review and summarise key tenancy terms for management approval, coordinating with legal advisers where required.
- Liaise with landlords and mall management on tenancy documentation, premises handover, fit-out requirements, and outlet-related matters.
- Track tenancy expiry dates, notice periods, payment obligations, and renewal deadlines.
- Coordinate outlet closures, including reinstatement requirements, premises handover, and deposit recovery.
2. Business Licensing & Permits
- Coordinate applications, renewals, amendments, and cancellations of business premises licences, signboard licences, and other relevant operating permits.
- Liaise with local councils and relevant authorities on documentation, application status, inspections, and approval conditions.
- Prepare and submit supporting documents, working with internal teams to obtain complete and accurate information.
- Follow up on outstanding requirements and escalate issues that may delay approvals or affect outlet operations.
- Ensure current licences and permits are properly recorded and displayed at outlets where required.
- Coordinate supporting compliance documents, such as food-handler training and vaccination records, with HR and outlet teams where applicable.
3. New Outlet Opening Support
- Prepare leasing and licensing timelines for proposed outlet openings.
- Work with Operations, Projects, Finance, and other relevant teams to align documentation, payments, fit-out activities, and application requirements.
- Monitor progress and highlight potential delays before the planned opening date.
- Coordinate tenancy and licensing requirements for outlet relocation, renovation, or changes in business activities.
4. Records, Reporting & Administration
- Maintain a central register of tenancy agreements, licences, permits, deposits, fees, and key deadlines.
- Set up reminders and initiate renewals within the required timelines.
- Prepare regular status updates covering upcoming expiries, pending applications, costs, and outstanding issues.
- Coordinate payment requests with Finance and maintain supporting receipts and records.
- Keep organised physical and digital files for management review and audit purposes.
Preferred Qualifications:
- Diploma or Degree in Business Administration, Property Management, Real Estate, or a related field.
- At least 2 years of relevant experience in leasing, tenancy administration, business licensing, or retail operations.
- Experience in an F&B, retail chain, or multi-outlet business is preferred.
- Familiarity with tenancy documentation and local authority licensing processes.
- Good communication and negotiation skills, with the ability to liaise professionally with landlords, authorities, and internal stakeholders.
- Strong attention to detail and ability to manage multiple applications and deadlines.
- Proficient in Microsoft Excel, Word, and document management.
- Good command of Bahasa Malaysia and English.
- Willing to travel to outlets, landlord offices, and local authorities as required.
