Junior Project Executive – Software Development

1. About the Role
We are looking for a motivated and detail-oriented Junior Project Executive to join our growing software development team.
The successful candidate will work closely with marketing team, software developers and clients to coordinate project activities, monitor delivery progress, maintain project documentation, and support the successful implementation of software solutions.
This position is suitable for fresh graduates or candidates with initial experience in IT project coordination who are eager to learn, take ownership of tasks, and build a long-term career in software project management.
2. Key Responsibilities
A. Project Planning and Monitoring
- Assist in preparing project plans, schedules, milestones, and task assignments.
- Monitor project progress and maintain accurate project trackers.
- Follow up with developers and other stakeholders on outstanding tasks and deadlines.
- Identify potential delays, dependencies, and project blockers, and escalate them to the Superior.
- Support the coordination of multiple projects and ensure deliverables are tracked against agreed timelines.
B. Project Coordination and Communication
- Coordinate communication between clients, internal teams, and third-party vendors.
- Arrange project meetings, prepare agendas, record meeting minutes, and track action items.
- Follow up on pending information, requirements, approvals, and decisions.
- Prepare project progress updates for internal management and clients.
- Ensure project expectations and agreed actions are clearly communicated to relevant stakeholders.
C. Software Development and Delivery Support
- Support project activities throughout the Software Development Lifecycle (SDLC), including requirements gathering, development, testing, UAT, deployment, and post-launch support.
- Coordinate with developers to monitor task completion and defect resolution.
- Assist in documenting business requirements, functional specifications, workflows, and change requests.
- Coordinate User Acceptance Testing (UAT), including test schedules, test cases, defect tracking, retesting, and sign-off.
- Assist in preparing deployment checklists, release documentation, and project handover materials.
D. Project Documentation and Reporting
- Prepare and maintain project plans, meeting minutes, status reports, action logs, and issue trackers.
- Maintain records of project requirements, change requests, risks, issues, and dependencies.
- Ensure project documentation is accurate, organized, and up to date.
- Assist in preparing management reports, project presentations, and progress dashboards.
- Follow the company's project management procedures and documentation standards.
E. Issue and Risk Coordination
- Track project issues and ensure assigned team members follow up on outstanding items.
- Escalate unresolved issues, resource constraints, and potential delivery risks promptly.
- Assist in monitoring changes to project scope, requirements, and delivery schedules.
- Ensure change requests and key decisions are documented for review by the Project Manager.
- Support continuous improvement in project coordination and delivery processes.
3. Qualifications and Requirements
Educational Background
- Diploma or Bachelor's Degree in Information Technology, Computer Science, Software Engineering, Information Systems, Project Management, or a related field.
- Fresh graduates are encouraged to apply.
Experience
- 0–2 years of experience in project coordination, IT operations, software development, business analysis, or a related role.
- Candidates with internship experience or academic projects involving teamwork, system development, or project coordination are welcome.
Essential Skills

Technical Knowledge
- Basic understanding of the Software Development Lifecycle (SDLC).
- Familiarity with web applications, databases, APIs, or system integrations is an advantage.
- Basic understanding of Agile/Scrum or Waterfall project management methodologies is preferred.
- Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Familiarity with project management tools such as Jira, Trello, Asana, ClickUp, or Microsoft Project is an advantage.

5. Key Performance Expectations
The successful candidate will be expected to:
- Maintain accurate and up-to-date project schedules and trackers.
- Ensure meeting minutes and action items are documented and circulated promptly.
- Follow up on outstanding tasks and escalate blockers in a timely manner.
- Maintain complete and organized project documentation.
- Support UAT, defect tracking, deployment, and project handover activities.
- Provide accurate and timely project status updates.
- Demonstrate continuous improvement in project coordination, communication, and ownership.
6. Career Development
The position offers practical exposure to software project delivery, client communication, system development processes, and project management practices.
Based on performance, the successful candidate may progress to Project Executive, Senior Project Executive, Assistant Project Manager, and eventually Project Manager.
