1. Job Purpose
To provide operational and administrative support to franchise outlets, ensuring compliance with company standards, effective franchisee relationship management, timely payment follow-up, project coordination and accurate performance reporting. The role also supports continuous improvement through effective use of digital tools and business reporting.
2. Key Responsibilities
A. Franchise Outlet Operational Support & Compliance
- Monitor franchise outlets' compliance with company policies, operational standards and Standard Operating Procedures (SOPs).
- Coordinate with franchisees and internal departments to address operational issues and compliance gaps.
- Maintain accurate compliance records and prepare regular monitoring reports.
- Follow up on corrective actions to ensure timely resolution of identified issues.
B. Franchisee Relationship Management & Payment Follow-Up
- Serve as a key contact point between franchisees and the Company for day-to-day operational and administrative matters.
- Maintain positive working relationships with franchisees through regular communication and follow-up.
- Monitor outstanding payments and coordinate with the Finance Department on payment collection and reconciliation.
- Follow up with franchisees on overdue payments and escalate unresolved matters to management.
- Maintain updated franchisee records and payment tracking reports.
C. Project & Task Management
- Coordinate and monitor franchise-related projects, assignments and operational initiatives.
- Ensure assigned projects and tasks are completed within agreed timelines.
- Liaise with relevant departments to obtain updates and resolve outstanding matters.
- Maintain project trackers and provide regular progress reports to management.
- Support other ad hoc assignments as required.
D. Franchise Outlet Customer Satisfaction (CSAT) Monitoring & Reporting
- Monitor customer satisfaction performance across franchise outlets.
- Collect, consolidate and analyse customer feedback and CSAT data.
- Prepare accurate and timely CSAT performance reports.
- Highlight key customer concerns and areas requiring improvement.
- Coordinate with franchisees and relevant departments to follow up on improvement actions.
E. Business Acumen, Reporting & Digital Tools
- Prepare professional reports, presentations and business updates for management.
- Utilise Microsoft Office applications, particularly Excel and PowerPoint, for data analysis, tracking and reporting.
- Apply suitable AI tools to improve work efficiency, reporting accuracy and presentation quality, in accordance with company guidelines.
- Analyse operational and franchise performance data to identify trends and areas for improvement.
- Support process improvements and automation initiatives where applicable.
3. Job Requirements
Education & Experience
- Diploma or Bachelor's Degree in Business Administration, Management, Hospitality, Marketing or a related field.
- Preferably 1–2 years of working experience in franchise management, F&B operations, business support, administration or a related field.
- Fresh graduates with strong coordination, communication and analytical skills are encouraged to apply.
Skills & Competencies
- Good communication and interpersonal skills, with the ability to maintain positive relationships with franchisees and internal stakeholders.
- Strong organisational, coordination and time management skills.
- Proficient in Microsoft Office, particularly Excel, Word and PowerPoint.
- Good analytical skills with attention to detail and reporting accuracy.
- Ability to manage multiple assignments and meet deadlines.
- Familiarity with AI tools for reporting, analysis and presentation is an added advantage.
- Ability to work independently and collaboratively with cross-functional teams.
- Willingness to travel to franchise outlets when required.
4. Contract Terms
- This position is offered on a fixed-term contract basis for six (6) months.
- The employee will be required to perform the responsibilities and achieve the KPIs assigned during the contract period.
- Any extension or renewal of the contract will be subject to business requirements, individual performance and mutual agreement.
- The Company reserves the right to assign other relevant duties within the scope of the position, as reasonably required.
Pay: RM3,500.00 - RM4,500.00 per month
