Requirements
Possess SPM, STPM or Diploma qualification in Business Administration, Operations Management, or a related field.
Proficient in English and Bahasa Malaysia, with good written and verbal communication skills.
Proficient in basic computer applications with the ability to quickly adapt to new systems and tools.
Minimum 1–2 years of working experience in administration, inventory control, logistics coordination, or service operations.
Strong administrative and organizational skills with excellent attention to detail and accuracy.
Strong problem-solving and critical thinking skills with the ability to resolve operational issues effectively.
Good communication and coordination skills with the ability to work effectively with internal teams and external partners.
Experience in a service center, repair operations, technology-related industry, inventory management, parts handling, or service repair workflow will be an added advantage.
Ability to manage multiple tasks, prioritize workload, and meet required timelines in a fast-paced environment.
Strong sense of responsibility, ownership, and commitment to process compliance.
Willingness to learn new systems, processes, and operational requirements.
Responsibilities
Perform daily stock counts to ensure inventory accuracy and maintain optimal stock levels.
Manage inventory control activities by maintaining accurate stock records and supporting effective inventory management practices.
Create and process Purchase Orders (POs) accurately and in a timely manner to facilitate the receipt, recording, and tracking of principal-provided service parts.
Receive Known Good Boards (KGB) shipments and promptly update acknowledgement records in Salesforce and GSX.
Ensure the timely return of Known Bad Boards (KBB) in accordance with principal operational requirements.
Prepare parts receiving documents, packing lists, daily mail-in documentation, and other logistics-related records.
Assign incoming repair cases to technicians daily to ensure efficient workload distribution and timely repair completion.
Perform general administrative duties, including stock transfer documentation, inventory records, and other service-related documentation.
Process and reconcile monthly Purchase Return (PR) transactions to maintain accurate inventory and financial records.
Manage Machines Protection Plan (MPP) Beyond Economical Repair (BER) case returns and maintain accurate and up-to-date records for submission to the relevant department for further processing.
Maintain and update the Non-Returnable (NRET) listing, ensuring all eligible items are accurately recorded and returned within the required timeline during scheduled NRET/Disposal activities.
Ensure compliance with principal operational requirements, including consignment returns and other inventory-related processes, within the required turnaround time.
Coordinate invoice-related escalations by ensuring accurate submission of supporting documents, timely follow-up, and closure of outstanding issues.
Manage stationery and office supplies inventory by monitoring stock levels and coordinating timely replenishment.
Coordinate and communicate effectively with internal departments to support daily service and inventory operations.
Perform other administrative and ad hoc duties as assigned by management.
