This role is ideal for a proactive individual with strong interpersonal skills, excellent stakeholder management capabilities, and the ability to manage a broad range of operational, financial, and administrative responsibilities.

As the first local hire, you will play a key role in setting up the Singapore office, coordinating with senior management team and external service providers including bankers, accounting firm, and ensuring the smooth execution of family office operations. The position requires a high degree of ownership, discretion, flexibility, and attention to detail.

Key Responsibilities

1. Family Office & Executive Coordination

  • Coordinate the day-to-day operational requirements of the family office's global investment portfolio.
  • Liaise with external stakeholders, including commercial banks, fund administrators, fund managers, and other professional service providers.
  • Coordinate investment-related documentation, account opening, transaction processing, and administrative requirements.
  • Maintain accurate investment records, documentation, and filing systems.
  • Follow up with relevant parties to ensure timely completion of operational tasks and documentation.
  • Support the coordination of investment holdings across various asset classes and geographical markets.

2. Finance & Accounting Liaison

  • Coordinate with outsourced accounting firms and external finance service providers on bookkeeping, accounting, and financial reporting matters.
  • Assist with the preparation and collection of financial documents, statements, invoices, and supporting records.
  • Monitor payment arrangements, expenses, and other routine financial administration.
  • Ensure financial records and supporting documents are properly maintained and organised.
  • Support the preparation of information required for regulatory, tax, compliance, and reporting purposes.
  • Work closely with internal stakeholders and external service providers to ensure timely and accurate financial administration.

3. Office Administration & Setup

  • Support the establishment and ongoing administration of the Singapore office.
  • Coordinate office setup, vendor arrangements, documentation, and general administrative matters.
  • Manage correspondence, scheduling, records, and other day-to-day office requirements.
  • Provide administrative and operational support to the family office's principal and relevant stakeholders.
  • Handle ad hoc assignments and operational matters as required.

4. Stakeholder Management & Coordination

  • Serve as a key local point of contact for external parties and service providers.
  • Build and maintain professional relationships with banks, accountants, fund administrators, and other business partners.
  • Communicate effectively with stakeholders across different cultural and professional backgrounds.
  • Proactively follow up on outstanding matters and resolve operational issues efficiently.
  • Exercise discretion and maintain strict confidentiality when handling sensitive financial and personal information.

Requirements

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related discipline.
  • Relevant experience in family office operations, investment administration, accounting coordination, fund administration, or general finance and administration.
  • Experience working with a Single Family Office, investment holding company, private investment firm, or similar environment would be advantageous.
  • Familiarity with investment-related documentation, financial records, banking processes, and external service provider coordination.
  • Strong interpersonal, communication, and stakeholder management skills.
  • Highly organised, detail-oriented, and capable of managing multiple priorities independently.
  • A proactive, hands-on mindset with strong follow-through and execution capabilities.
  • Comfortable working in a lean, newly established office environment with evolving processes and responsibilities.
  • Able to handle confidential information with professionalism and discretion.

What the Role Offers

  • Direct exposure to the operations and administration of a diversified, international investment portfolio.
  • Close interaction with the principal and key decision-makers.
  • A broad, hands-on role offering exposure to finance, investment operations, and office management.
  • The opportunity to contribute meaningfully within a lean team and take ownership of operational processes.
