Job Description

Responsibilities

ABOUT THE POSITION

As Operations Excellence & Systems Manager you will keep FICOFI’s physical flows running to the standards our members expect, while rebuilding how those flows work: simpler processes, an efficient ERP that provides valuable solution. You will run real shipments and own projects, so every improvement is designed by someone who understands the process flow and requirements.

By the end of your first year, our team will work with simpler processes that you helped design, freight costs will be under control, and colleagues will see you as a trusted voice on how we work and which systems we use.

KEY RESPONSIBLITIES

Supply chain execution, about 50%:
Run international shipments end to end on the flows the role picks up: quotation as a global amount covering the full cost, carrier selection, booking, documentation, delivery and close-out in the ERP.

Know each warehouse from reception to picking, set one warehouse process standard across them with the site owners, and step in on site when needed.

Act as second-level support and support the rollout of the FICOFI identifier and Tasklet Mobile.

Design cycle-counting and count-campaign methods with the site owners, and track stock accuracy across the network.

Set the freight cost control standards for the network: each invoice checked against the quote and PO, variances disputed before payment, and actual cost booked to the right code and fed back to the budget.

Manage the carrier panel: explore alternative carriers, put a standard RFQ process in place, and run performance reviews with the regional owners.

Open and qualify new lanes, first the United States and transfers between Europe and Asia, and onboard the partners that serve them.

Take on critical and non-standard flows when needed: high-value transfers, secured pickups and event peaks.

Back up the transport, logistics and warehouse teams at peak periods and during absences.

Process, ERP and automation, about 50%:
Map the core flows end to end with stakeholders (order to delivery, PO to invoice, receipt to stock, event to return), find the waste, then redesign and simplify.

Act as Operations product owner for transport in the ERP: freight grid, quotation, freight invoicing, and automatic duty calculation and invoicing.

Feed shipment data into the ERP, from dispatch to delivery.

With the IT team and the integrator, build carrier connectivity (API/EDI) and support the regional owners on the WMS interfaces between the ERP and the warehouses.

Capture and prioritise ERP requirements with the process and systems lead, write user stories, run UAT, and manage the release into the team.

Drive adoption: structured training, SOPs, and short process recordings with Guidde or an equivalent AI tool.

Help team members deliver their own AI and automation use cases: measure the success, build and publish effective shared tools.

Document critical knowledge, so that no flow depends on one person.

KEY SKILLS & QUALIFICATIONS

Experience and Skills:
5 to 8 years in supply chain, logistics or operations, including at least 2 years hands-on in international shipments or warehouse operations (freight forwarding, 3PL, or an in-house logistics team)

Hands-on WMS experience: run, configured or rolled out a warehouse management system, and understands warehouse flows from reception to picking, inventory and cycle counting

At least one full ERP (Business Central, Dynamics, SAP, NetSuite or Odoo) implementation or major roll-out: requirements, UAT, go-live, hyper care

Proven process work: mapped, redesigned and measured a process, with a quantifiable before and after

Data fluency: advanced Excel, comfortable with Power BI or similar (data model and query a table)

Uses AI and automation tools in daily work (Copilot, Claude, Power Automate or similar)

Language Proficiency: To engage with our vendors and teams, fluency in English is essential.

Strong Advantages:
Lean, Six Sigma Green Belt or equivalent

Background in a consultancy, scale-up or a transformation programme, while having experience in an operating role

TMS or EDI/API integration exposure, including WMS to ERP interfaces

Experience in luxury, high-value goods or premium service logistics
