Responsibilities

Job Summary

Excel Language Center is looking for a Front Desk & Student Administration Executive to provide a professional reception experience and maintain accurate student records and administrative controls throughout the student journey, from confirmed enrolment and arrival through class start, payment follow-up, materials issuance, and active or upcoming student reporting.

Key Responsibilities

1. Front Desk & Visitor Management

  • Welcome students, visitors, agents, suppliers, and other guests professionally.
  • Handle general phone calls, WhatsApp messages, and walk-in enquiries.
  • Direct visitors to the appropriate department and transfer course and pricing enquiries to the Sales team.
  • Maintain an organized reception area and visitor log.

2. Student Database & Records

  • Enter and update verified student information in the approved master database.
  • Maintain accurate enrolment details, student source (Agent or Direct), branch, programme, intake, study dates, contact information, class or level, payment status, and materials issued.
  • Maintain organized digital and physical student files while protecting confidential information.

3. Student Onboarding & Reporting

  • Review confirmed and upcoming students daily and verify their start dates, branches, programmes, payment status, and required documents.
  • Coordinate with the Academic Department regarding class placement and timetable instructions.
  • Ensure students receive the correct timetable, materials, and first-day directions.
  • Prepare active-student and upcoming-student lists according to the agreed schedule, including required student status, class or level, start and end dates, representation, and payment information.
  • Identify missing or conflicting records and flag them for correction.

4. Materials & Stock Control

  • Maintain stock records for course books, Excel Passport, and Simulation Street materials.
  • Record stock received, issued, returned, damaged, or missing.
  • Issue the correct materials to students and conduct regular physical stock counts.
  • Alert management before stock reaches the agreed reorder level.

5. Payment Monitoring & Follow-up

  • Monitor due and outstanding student balances.
  • Update verified payment proof and payment status.
  • Prepare clear payment reminder lists for the Sales team to follow up.
  • Coordinate receipt documentation according to the approved process.

6. Academic Administration Support

  • Relay approved messages to teachers.
  • Prepare or update timetables according to academic instructions.
  • Produce class lists and simple documents.
  • Monitor whether attendance records are being updated and report missing entries.

7. Student Requests & General Administration

  • Receive student and visitor requests or complaints professionally, record relevant details, and escalate matters to the responsible department.
  • Follow up until the matter is acknowledged without making unauthorized promises or commitments.
  • Maintain the readiness of the front desk and shared administrative area.
  • Report maintenance, classroom, or equipment issues.
  • Perform other reasonable administrative duties assigned by management that fall within the nature of the position.

Requirements & Qualifications

  • A diploma or equivalent qualification is preferred.
  • Previous experience in reception, administration, customer service, education, hospitality, or a similar environment.
  • Strong spoken and written English.
  • Comfortable using Google Sheets or Microsoft Excel, shared databases, digital files, email, and WhatsApp.
  • Strong attention to detail and data accuracy.
  • Good organizational, communication, and follow-up skills.
  • A professional, service-minded, and respectful approach when dealing with international students.
  • Ability to handle confidential information discreetly.
  • Ability to remain calm under pressure and coordinate tasks across Sales, Academic, and Management teams.
  • Additional languages are an advantage.

Pay: Up to RM2,500.00 per month
