About the role
HR & Finance Executive role combining human resources operations and financial management responsibilities. The position encompasses workforce planning, recruitment, onboarding, employee relations, performance management, learning and development, payroll administration, accounting, financial reporting, and compliance activities.
Key responsibilities
- HR operations: Coordinate workforce planning, recruitment, onboarding, employee relations, performance management, learning and development, disciplinary matters, grievances, and other employee lifecycle activities.
- Payroll and statutory submissions: Prepare accurate monthly payroll and submit EPF, SOCSO, income tax, and other required contributions and reports within statutory deadlines.
- Employee records and documentation: Maintain complete and confidential personnel records in physical and digital formats, and issue HR letters promptly.
- Benefits and engagement: Administer leave, claims, and employee benefits, and support employee engagement and organizational change initiatives.
- Office administration: Coordinate essential office administration and related vendor or facility matters.
Finance Accountabilities
- Accounting and financial records: Manage day-to-day accounting activities, including bookkeeping, general ledger maintenance, preparation of schedules, AP/AR, bank reconciliations, and intercompany transactions, in compliance with accounting standards and internal requirements.
- Financial closing and reporting: Ensure timely month-end and year-end closing, and prepare management accounts, financial analysis, and highlighting key movements, risks, and areas requiring attention.
- Process improvement: Establish, review, and strengthen accounting processes to improve accuracy, control, and compliance.
- Audit and tax coordination: Prepare schedules and supporting records for statutory, internal, and tax audits, and coordinate timely resolution of findings.
- Tax and statutory filings: Prepare tax reconciliations and statutory returns accurately and within required deadlines.
- External liaison: Coordinate with external auditors, tax agents, the company secretary, and regulatory bodies on financial and compliance matters.
- Cash-flow management: Monitor cash positions, cash-flow requirements, collections, payments, and financing activities, and promptly escalate any material discrepancies to management.
Success Measures
- Accurate and timely month-end closing and payroll, management reporting, tax filings, and statutory submissions.
- Complete, accurate, confidential, and audit-ready HR and finance records.
- Effective cash-flow management, internal controls, timely audit follow-up, and clear escalation of material risks.
- Reliable and timely employee administration, with responsive support to employees and management.
Requirements & Qualifications
- Diploma or degree in Human Resources, Finance, Accounting, Business Administration, or a related discipline.
- At least 1 years of relevant experience across HR operations, payroll, accounting, or finance administration; experience in shipping, freight forwarding, marine logistics, or transportation is preferred.
- Practical knowledge of Malaysian payroll and statutory obligations, including EPF, SOCSO, EIS, PCB, and relevant employment requirements.
- Working knowledge of bookkeeping, reconciliations, financial reporting, tax filings, audit support, accounting standards, and internal controls.
- Strong analytical, problem-solving, organizational, and stakeholder-management skills, with sound judgment and attention to detail.
- Clear written and verbal communication skills, including the ability to coordinate effectively with employees, management, external advisers, regulators, and overseas counterparts.
