Job Description

Responsibilities

JOB RESPONSIBILITY

HR & Attendance

  • Monitor employee attendance, OT, and leave records.
  • Ensure attendance and OT data are accurate in the system.
  • Follow up on missing clock in/out and attendance issues.
  • Prepare monthly attendance and OT reports.

Payroll & Claims Support

  • Support payroll preparation by ensuring all leave and OT are approved.
  • Process payroll for Sub Contract .
  • Process medical claims and fees; monitor claim limits and inform management for deductions if required.

Inventory & Uniform

  • Maintain inventory records (uniform, safety shoes, waterboot, stationery).
  • Coordinate uniform issuance and ordering.
  • Conduct stock take and update inventory records.

Administration & Documentation

  • Handle EPR, GRN, invoices, and related documentation.
  • Coordinate with Finance and Purchasing on invoices and COD payments.
  • Manage seed fund distribution and documentation.

FOMEMA & Foreign Worker Permit

  • Monitor expiry of FOMEMA and work permits for all foreign workers.
  • 3 months before expiry: check FOMEMA portal, book clinics, open PR if needed.
  • Coordinate with clinic, employees, and HODs to confirm FOMEMA dates.
  • Arrange transport for employees to clinic.
  • Check FOMEMA results and process work permit renewal for approved employees.
  • Maintain proper records for compliance.

Vendor & External Coordination

  • Coordinate with government bodies for licenses, permits, and renewals.
  • Manage company vehicle documentation (insurance, road tax).

Reporting & Monthly Tasks

  • Prepare monthly reports (attendance, inventory, utilities).
  • Handle meter reading submission and utilities bill breakdown.
  • Support operational and production admin requirements.

Requirements

  • Diploma / Degree in HR, Business Administration, or related field.
  • Experience in HR & Admin operations is an advantage.
  • Familiar with attendance systems and basic payroll processes.
  • Good organizational, communication, and coordination skills.
  • Able to work independently and meet deadlines.

Job Types: Full-time, Permanent

Pay: RM2,000.00 - RM2,800.00 per month

Work Location: In person
