WE ARE HIRING
EXECUTIVE ASSISTANT TO PRINCIPAL
Penang, Malaysia

We are looking for a highly organised, trustworthy, and proactive individual to support the daily operations of a dynamic architectural practice.

The role requires someone who is able to multitask confidently across administration, scheduling, billing coordination, document management, meeting arrangements, and general office operations. The candidate will work closely with the Principal in supporting daily coordination and management matters.

Join an award-winning boutique practice with a consistent track record of shaping landmark buildings in Penang. Work closely with the Principal on meaningful projects, meetings, and daily operations within a dynamic creative environment.

Key Responsibilities:
• Administrative and office coordination
• Scheduling meetings and managing calendars
• Assisting with billing coordination and follow-ups
• Assisting with documents, submissions, and correspondence
• Coordinating with consultants, suppliers, and clients
• Attending meetings and preparing meeting minutes and coordination notes
• Supporting the Principal during meetings, site visits, and daily operations
• Supporting general office management and coordination

Requirements:
• Diploma or Degree in Business Administration, Management, Accounting, Finance, or related field
• Minimum 3 years working experience
• Strong organisational and multitasking skills
• Responsible, reliable, and detail-oriented
• Good communication and follow-up abilities
• Good command of Bahasa Malaysia and English, including professional correspondence and letter writing
• Proficient in Microsoft Office and Google Workspace
• Possess valid driving licence and willing to travel when required
• Experience in consultancy or professional office environment will be an added advantage
