Job Description

Responsibilities

We are seeking a detail-oriented and proactive IT Administrative Coordinator to support the IT department in clerical administration, billing, procurement, and contract management activities. The role is responsible for maintaining accurate records, ensuring timely processing of orders and invoices, and coordinating with vendors and internal stakeholders to resolve billing or contract-related issues.

Key Responsibilities

Clerical & Administrative Support

  • Provide administrative assistance to the IT team, including documentation, filing, and correspondence.

Procurement & Order Management

  • Prepare and process purchase requisitions and purchase orders in line with company policies.
  • Track and follow up on orders to ensure timely payment to suppliers .
  • Coordinate with vendors and suppliers on billing, delivery, and service issues.

Billing & Payment Administration

  • Verify invoices against purchase orders and delivery notes for accuracy.
  • Investigate and resolve discrepancies in billing, payments, or outstanding balances.
  • Support monthly/quarterly reconciliation of IT expenditures.

Contract Administration

  • Maintain contract records and databases for IT services, licensing, and maintenance agreements.
  • Track contract renewal dates and ensure timely extensions, renewals, or terminations.

Reporting & Coordination

  • Generate and maintain reports on IT spend, inventory, and contract status.
  • Assist in budget tracking and cost optimization initiatives.
  • Serve as a coordination point between IT, Finance, and Procurement teams.

Qualifications & Skills

  • Diploma in Business Administration, Finance, IT, or related field.
  • Minimum 2–3 years of experience in administrative, billing, procurement, or contract coordination (IT environment preferred).
  • Strong organizational skills with attention to detail and accuracy.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint); experience with ERP/procurement systems is a plus.
  • Good communication and interpersonal skills to coordinate across departments and vendors.
  • Ability to multitask and work independently under minimal supervision.
